Bookkeeper/Financial Administrator (Part-time Church)

The Financial Administrator ensures that church financial records are updated in a timely and accurate manner following the church’s financial policies and procedures. Financial records include donor records, cash disbursements, accounts payable, accounts receivable, payroll, financial reports, budgets and donor-restricted fund records.

Ideal for retired accountant, bookkeeper or finance professional seeking meaningful part-time work.

Job Classification:: Part-time position with limited benefits, 20-30 hours a week. Working from home, on defined schedule, an option.

Responsibilities and Duties

The responsibilities of the Financial Administrator include, but are not limited to:

  • Process payroll for church staff. Prepare tax forms (W2, 1099s) for church employees and independent contractors
  • Accounts Payable, including timely and accurate preparation of checks and online payments for payment of expenses as authorized and directed by Committee Chair members, scanning of all payable documents to payment record in QuickBooks
  • Prepare monthly financial reports in specified formats for Finance Ministry
  • Accounts Receivable, oversee the receipt of offerings and record thereof for each individual contributor toward their pledge, oversee the receipt of incoming funds for various church events and outside entities utilizing building use of the church, make deposits via bank software to bank organizations weekly
  • Process incoming offerings made via PayPal, CheckFree and Vanco
  • Reconcile monthly bank and investment account statements
  • Work with auditors internal or external by providing all records necessary to perform any part of the audit/review
  • Ensure the integrity of the church’s financial operations, maintaining efficient internal controls following the church’s financial policies and procedures
  • Prepare the financial portion of the Congregations Annual Report
  • Prepare and disseminate quarterly giving statements to members of the church/other donors
  • Maintain detailed operating manual for the work of the Financial Administrator.
  • Provide back-up of all financial data (QuickBooks (currently) Realm, Dropbox
  • Attend meetings or events as requested by Head of Staff or Session leadership.
  • Maintain confidential information and respect the privacy and confidence of church staff and church members.

Qualifications and Skills

  • Three plus years of experience in bookkeeping or accounting, preferably in a church setting
  • Thorough understanding of bookkeeping and basic accounting rules
  • Proficiency with Non-profit accounting software, Microsoft Office
  • Experience with payroll required
  • Good oral and written communication skills
  • Ability to work with others, including staff, members and volunteers in a supportive team relationship with the ministries and mission of the church
  • Ability to work independently to meet deadlines and manage time efficiently

Accountability

Reports to the Pastor as Head of Staff

Evaluation

Performance evaluation will be made annually by Finance Elder and Head of Staff.

Pay: $24.00 - $26.00 per hour
