Role Overview:
The Agency Service Coordinator is responsible for coordinating all repair, service, and accident related activities for branded vehicles handled by authorized external agencies. The role ensures smooth vehicle movement between locations, timely repair completion, cost control, accurate documentation, and system updates, while working closely with internal teams and external service partners to minimize vehicle downtime and support business operations.
Key Responsibilities:
- Coordinate the daily drop-off and pick-up of out-of-service vehicles to and from authorized service agencies.
- Liaise with external agencies for vehicle servicing, mechanical repairs, bodywork, and accident repairs, ensuring timely completion and release of vehicles.
- Follow up closely with agencies to reduce turnaround time and ensure vehicles are returned to service as scheduled.
- Prepare, submit, and track all documentation required for agency warranty and service claims.
- Negotiate repair costs, estimates, and timelines with agencies to achieve cost efficiency while maintaining quality standards.
- Update internal systems accurately when vehicles are sent to agencies and upon release back to operations.
- Coordinate internally with the workshop, fleet, operations, and procurement teams to align repair decisions and priorities.
- Monitor repair progress and escalate delays, cost discrepancies, or quality concerns when necessary.
- Maintain proper records of agency repairs, costs, warranties, and service history.
Skills and Qualifications:
- Diploma or Bachelor’s degree in Automotive Technology, Mechanical Engineering, Business Administration, or a related field.
- Atleast 3–5 years of relevant experience in fleet operations, automotive service coordination, workshop operations, or agency/vendor management (rental or automotive industry preferred).
- Strong understanding of vehicle repairs, servicing processes, warranty claims, and accident repairs.
- Experience coordinating with authorized dealers or branded service agencies (e.g., BMW, Audi, Mercedes-Benz, Lexus, Porsche, Toyota, Nissan, etc.) is a strong advantage.
- Good coordination, negotiation, and follow-up skills.
- Strong organizational skills with the ability to manage multiple vehicles and agencies simultaneously.
- Proficiency in system updates, ERP/fleet management systems, and basic reporting.
- Ability to work under pressure and meet tight operational deadlines.
