Brokerage Administrative Associate

Overview: Process U.S. Customs related documents and reports correctly and accurately in accordance with CBP laws, regulations, and PLSA policy by performing the following duties. Responsibilities:

BASIC PURPOSE Support Import/Export operations in an administrative fashion assisting with billing , statement review and processing, recordkeeping, filing, and other tasks. Mon-Friday with occasional holiday support.

ESSENTIAL Customs Brokerage Responsibilities are outlined below. Additional duties may be assigned, with opportunities for increased responsibility as time progresses with experience.

• Review invoices and shipping documents to ensure compliance with Customs regulations.
• Conduct entry audits for accuracy to support statement processing.
• Assist with the logging of entry status and preparing Consumption Entries and Hazardous Materials (Haz-Mat) files for digital processing.
• Assist in the processing of daily and periodic monthly statements (print statements, collect entries, process duty payments).
• Prepare and process digital files with complete documentation for billing.
• Create credit memos in case of billing errors.
• Interface with the Accounting AR department in case of any issues.
• Upload 7501 forms to the system of record.
• Upload entry packets to customer sites.
• Send statements to customers.
• Provide excellent customer service via telephone and email.

LANGUAGE SKILLS Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, clients, public groups

MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra.

REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER ABILITIES Working knowledge of the Automated Broker Interface System, Excel, PowerPoint, Outlook, and Microsoft Word. Minimum one year of supervisory experience is required. Experience managing financial activities such as P&L/I&E, and A/R collections. Bilingual skills (depending on market).
