Business Assistant

Job Summary
You will be paying down payment for this role 250 its going to the application fee...we are seeking a dynamic and highly organized Business Assistant to support our executive team and streamline daily operations. This role is vital in ensuring efficient office management, coordinating projects, and providing exceptional administrative support. The ideal candidate will be proactive, detail-oriented, and possess a strong ability to multitask in a fast-paced environment. As a Business Assistant, you will play a key role in enhancing productivity and maintaining smooth communication across departments.

Duties

  • Manage calendar scheduling and coordinate meetings using Microsoft Outlook Calendar and Google Workspace tools, ensuring optimal time management for executives.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports.
  • Assist with event planning for company meetings, conferences, and special events, handling logistics from venue booking to materials preparation.
  • Oversee office management tasks such as filing, data entry, maintaining office supplies, and managing multi-line phone systems with professional phone etiquette.
  • Support bookkeeping and invoicing processes using QuickBooks or similar accounting software, including data entry and basic bookkeeping tasks.
  • Coordinate project activities by tracking deadlines, preparing agendas, taking minutes, and ensuring timely completion of deliverables.
  • Perform clerical duties such as transcription, proofreading, filing, and maintaining organized records to ensure easy retrieval of information.

Qualifications

  • Proven experience in administrative roles or personal assistant positions with strong office management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Strong typing skills coupled with attention to detail for data entry, transcription, proofreading, and document management.
  • Experience with event planning, project coordination, and front desk responsibilities is highly desirable.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • Knowledge of QuickBooks or similar bookkeeping software is an advantage.
