The City of Solon has an opening for a full-time Business Coordinator position in the Finance Department.

JOB SUMMARY

The Business Coordinator provides administrative, financial, and operational support to the Finance Department by assisting with purchasing, accounting support functions, financial processing, reporting, and interdepartmental coordination. This position supports the Finance Director and Finance Department staff by reviewing and coordinating requisitions and purchase orders, assisting with accounts payable and receivable activities, reconciling financial activity, supporting credit card administration, and serving as a liaison between Finance and City departments.

The Business Coordinator exercises independent judgment within established policies and procedures and is expected to manage multiple priorities while maintaining accuracy, confidentiality, and professionalism.

PRIMARY TASKS AND RESPONSIBILITIES

  • Assist the Finance Director with daily operational and administrative support activities.
  • Serve as a liaison between the Finance Department, City departments, and department heads regarding financial and purchasing processes.
  • Review requisitions and purchase orders for completeness, accuracy, compliance with City policies, and proper authorization prior to processing.
  • Assist with purchasing and procurement support activities in accordance with state law and local ordinances.
  • Assist with accounts payable processing, including invoice review, payment preparation, vendor communication, and vendor setup and maintenance.
  • Assist with accounts receivable functions, including billing support, receipt tracking, and reconciliation.
  • Reconcile City credit card transactions, statements, and supporting documentation across multiple departments.
  • Assist with monthly, quarterly, and periodic reconciliations of financial accounts and activity.
  • Prepare, compile, and run financial, operational, and management reports using the City’s ERP system.
  • Assist with audit preparation, documentation requests, and internal reviews.
  • Support budget preparation, tracking, and financial monitoring as assigned.
  • Cross-train within the Finance Department to provide operational support and continuity.
  • Assist with special projects, initiatives, and process improvements as assigned.
  • Perform other related duties as assigned in support of Finance Department operations.

LEVEL AND TYPE OF EDUCATION REQUIRED

  • Associate degree or higher in Business Administration, Accounting, Finance, Public Administration, or another related field preferred.
  • A Bachelor’s degree in any discipline combined with relevant professional experience will be considered.
  • Relevant professional experience in administrative, financial, accounting support, purchasing, procurement, or business operations may be substituted for formal education.
  • Experience in a municipal or government finance environment preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge of governmental accounting principles, purchasing processes, and financial operations.
  • Demonstrated ability to independently perform assigned financial and administrative duties with accuracy and professionalism.
  • Strong organizational skills and attention to detail.
  • Ability to exercise sound judgment within established policies and procedures.
  • Proficiency in Microsoft Office applications, including Excel.
  • Ability to learn and adapt to new systems, processes, and procedures.
  • Strong communication and customer service skills.
  • Ability to handle sensitive and confidential information with discretion and professionalism.

TOOLS AND EQUIPMENT USED

The employee is expected to freely operate the following tools and equipment: personal computer (including word processing and spreadsheet software), mainframe computer ERP systems, calculator, telephone, fax machine and photocopier.

This position offers a salary range of $52,363.62 - $73,309.07. City benefits include medical, prescription, dental, and vision. Additional benefits include membership in the Ohio Public Employee Retirement System, life insurance vacation, sick leave accruals, and select paid holidays.
