Our team is focused on delivering excellent client experiences while continuously improving our operations and marketing strategies. We are seeking a proactive, detail-oriented Part-Time Assistant to support the owner with analytics, marketing, project management, and business development initiatives.
Responsibilities:
Marketing & Growth Support
- Track performance of ads and social media posts (Instagram, TikTok, Facebook).
- Prepare clear, easy-to-read reports: what campaigns/posts worked, what didn’t, and actionable recommendations.
- Support loyalty and referral programs (track usage, update lists).
- Coordinate collection of UGC content (reviews, before/after photos, client videos).
- Draft texts for SMS/email campaigns (based on owner’s direction).
Business Research & Implementation
- Conduct research on industry trends, retention strategies, and competitor activity.
- Research, test, and implement new tools for automation (CRM features, reporting dashboards, etc.).
- Take ownership of setup and ensure systems are functional and easy for the team to use.
- Analyze lead tracking: identify weak points and directly implement improvements.
- Prepare comparison tables (competitor pricing, treatment packages, marketing offers).
Project Management & Coordination
- Conduct regular check-in meetings with the marketing team and external vendors to track progress on campaigns.
- Maintain project timelines and ensure tasks are followed through.
- Summarize meeting outcomes into clear action items for the owner.
- Follow up with responsible parties to ensure deadlines are met.
Operations & Documentation
- Write and maintain company protocols, SOPs, and onboarding guides for coordinators and aestheticians.
- Build and maintain a structured internal knowledge base (Google Drive, Notion, or similar).
- Assist in documenting and rolling out new policies or workflow improvements.
- Ensure processes are not just written, but actively followed by the team.
Owner Support (Executive Assistant Style)
- Maintain project/task lists (Google Sheets, Notion).
- Provide summaries of research, reports, and updates in a clear, structured way.
- Assist with hiring tasks (screening resumes, organizing interviews).
- Handle occasional administrative errands: ordering supplies, coordinating with vendors, or preparing materials.
Metrics & Reporting
- Create a weekly dashboard including:
- Leads generated (by channel: ads, referrals, social).
- Sales breakdown by service category (LHR, Morpheus8, Injectables).
- Retention KPIs (returning clients, follow-up bookings).
- Week-over-week and month-over-month comparisons.
- Provide owner with actionable insights, not just raw numbers.
Requirements:
- Strong organizational and analytical skills.
- Excellent written communication skills (for SOPs, templates, reports).
- Proficiency with Google Sheets/Excel (reports, charts, formulas).
- Familiarity with social media analytics (IG Insights, Meta Ads Manager, TikTok Analytics).
- Ability to conduct structured online research and implement findings into working systems.
- Proactive mindset, able to work independently with minimal supervision.
Nice to Have:
- Background in marketing, business admin, or research.
- Project management experience (tracking timelines, running meetings).
- Experience writing process docs, protocols, or training manuals.
- Familiarity with the beauty/aesthetic/medspa industry.
Job Type: Part-time
Pay: $24.00 - $28.00 per hour
