Business Office Assistant

Duties

  • Manage front desk operations, greeting visitors and clients with a friendly and professional demeanor
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks
  • Support bookkeeping activities using Excel or similar accounting software to assist with invoicing and expense tracking
  • Provide excellent customer support by addressing inquiries via phone or email and ensuring client satisfaction
  • Assist with office management duties such as supply ordering, inventory tracking, and maintaining a clean workspace

Skills

  • Strong proficiency in computer literacy including Microsoft Office, Google Workspace, and data entry tools
  • Experience with Medical insurance verification.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to serve diverse client needs and enhance communication
  • Demonstrated experience in clerical work, office management, or administrative support roles
  • Exceptional phone etiquette and customer service skills for engaging with clients and visitors professionally
  • Familiarity with multi-line phone systems and front desk procedures for seamless communication flow
  • Attention to detail in proofreading documents and managing records accurately
  • Time management skills to handle multiple responsibilities efficiently without compromising quality
  • Personal assistant or medical/dental receptionist experience is a plus for understanding specialized office environments
  • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
