Business Operations & Administration Executive (Marketing)

The Business Operations & Administration Executive will support the region and units' team in assisting in external affairs, business operations, and administration tasks. This role involves coordinating with vendors especially in hospitality sector, handling payments, managing mobile business operations, executing events, providing customer services, and maintaining relevant documentation. The ideal candidate will have strong organizational skills and communication skills, service awareness, attention to detail, and the ability to work independently in a fast-paced environment.

Key Responsibilities
  • Supervise onsite Setup and build-up of exhibition booths and event venue, ensuring consistency with design file, high construction quality, timely delivery, visually appealing and functional.
  • Manage external service providers from hospitality sector, onboard new resources across MENA region, manage trip planning and execution, and perform budget control.
  • Manage business operations of mobile business including system operations, inventory control, bookkeeping, leads tracking, channel management, cross-team coordination, etc., and provide customer services to end users.
  • Draft proposal, plans and reports regarding internal or external events and activities in Chinese and English.
  • Coordinate with vendors and suppliers to secure necessary materials and services, ensure timely deliveries, track payments and resolve any discrepancies.
  • Manage marketing material inventory, maintain clear records of all materials, check the inventory status on a regular basis.
  • Maintain proper documentation for events, activities and trips, including order form, delivery note, receipt, etc.
  • Business trip required for Egypt, Saudi, Oman, Morrocco and other countries in the MENA region.
Additional Information
  • This role may require occasional work outside regular business hours-including evenings and weekends-for events and exhibitions.
  • Business travel within the MENA region may be required.
Qualifications

Education: Bachelor's degree or above

Skills:

  • Excellent communication and interpersonal skills.
  • Must have service awareness and take tasks hands on.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Working Experience: 2-3 years of proven experience as operations/Marketing/admin role
Personal Attributes
  • Attention to detail and the ability to multi task in a fast paced environment.
  • Problem solving skills and the ability to work independently or as part of a team.
  • Excellent written and verbal communication skills in English and Mandarin.

Candidates with less experience would be considered for junior positions.
