Job Summary:

JWB Manufacturing, LLC is seeking a highly organized and detail-oriented Operations and Administrative Specialist to play a crucial role in the daily operations of our manufacturing and sales processes. This multifaceted position requires a proactive individual capable of managing a wide array of responsibilities, from hands-on logistics and inventory management to essential accounting and administrative tasks. The ideal candidate will be a strong self-starter with a willingness to learn and contribute to the efficiency and growth of our business.

Responsibilities:

  • Order Fulfillment and Logistics: Picking and packaging products for shipment, creating shipping labels, and ensuring timely drop-off with carriers.
  • Invoicing and Financial Record Keeping: Generating invoices using QuickBooks Enterprise, making bank deposits, and reconciling accounts within QuickBooks.
  • Sales Tax Processing: Accurately processing and managing sales tax requirements.
  • Inventory Management: Developing, implementing, and maintaining a comprehensive inventory management system within QuickBooks for both finished goods and supplies.
  • Cost Analysis: Creating and analyzing cost breakdowns for production processes and products.
  • Standard Operating Procedures (SOPs): Developing written documentation and video recordings for all key operational procedures.
  • Office and Facility Maintenance: Maintaining a clean and organized office and bathroom environment.
  • Customer Service: Answering phone calls and assisting customers with inquiries.
  • Part Marking: Accurately marking parts as required.
  • Manage calendar & emails
  • Manage the CRM system (GoHighLevel) and monthly news letter
  • Other duties as assigned to support the needs of the business.

Qualifications and Desired Traits:

  • General understanding of basic accounting principles.
  • Exceptional attention to detail and accuracy.
  • Strong self-motivation and the ability to work independently.
  • Proactive approach with a willingness to continuously learn and adapt.
  • Ability to think creatively and identify opportunities for improvement.
  • Familiarity with QuickBooks Enterprise is highly desirable.
  • Experience with inventory management systems is a plus.
  • Bilingual with Spanish
