Since 2003, WMFHA has been Washington State’s leading non-profit trade association (501c6) representing multifamily housing owners and ownership groups, third-party multifamily housing operators, multifamily developers, and industry suppliers. WMFHA’s mission is to serve its members through effective leadership and advocacy, education and career development, and networking and business development opportunities. WMFHA is the state-chartered affiliate of the National Apartment Association (NAA) and is the eighth largest affiliate in the NAA network, representing more than 200 property management companies and ownership groups, 2,500 multi-family properties, 368,000 housing units, and 430 industry suppliers throughout Washington State.
Scope of Activity:
The Operations Coordinator is responsible for the day-to-day administrative functions of the Washington Multi-Family Housing Association (WMFHA). This role serves as the primary point of contact for members, manages office logistics, provides essential general office support, and maintains baseline bookkeeping records to ensure organizational efficiency.
Primary Responsibilities:
Key Responsibilities
Office & Administrative Management
- Reception & Communication: Serve as the first point of contact for the association, answering calls, redirecting member inquiries, and managing general email requests.
- Facilities Coordination: Oversee daily office functions, including maintaining supply levels, coordinating the room calendar for meetings, and arranging repairs for office equipment.
- Operational Compliance: Manage and maintain business licenses, domain renewals, and the distribution of correspondence and packages.
Event & Team Support
- Event Execution: Assist with event registration, including managing attendee badges, processing day-of adjustments, and coordinating registration volunteers.
- Member Management: Process new member entries into the database and NAA Affiliate Portal, and maintain monthly reports on membership additions and drops.
- General Support: Provide clerical support for association initiatives and perform other duties as assigned by the Executive Director or Senior staff.
Baseline Accounting & Data Integrity
- Transactional Bookkeeping: Handle basic accounts receivable and payable, including billing, processing payments, and following up on collections.
- Database Management: Manage membership and financial data within the Association Management Software (NOVI) and QuickBooks.
- Reporting Support: Provide detailed information and documentation to the external accountant for financial statement preparation and assist with budgeting data.
Skills & Experience
- Education/Experience: Associate degree and/or 2–5 years of relevant administrative and office management experience.
- Technical Proficiency: Professional experience with Microsoft 365 programs is required; experience with Canva (or other design programs), Quickbooks Online, Customer Relationship Manager (CRM) and third-party payment platforms is a plus.
- Soft Skills: Exceptional attention to detail, strong organizational abilities, and professional, diplomatic communication skills.
- Commitment: Demonstrated integrity, honesty, and a collaborative, team-oriented mindset.
Compensation/Benefits:
The hourly income range for the Business Operations Coordinator is $26.44-$31.25/hr., commensurate with your experience, relevant education, and the scope of the role. We also provide a comprehensive benefits package, which includes:
