JOB SUMMARY
Performs assigned duties of ordering supplies and equipment utilizing standard material management policies and computerized systems. Responsible for the operation of the procurement function of the department. Maintains the computerized materials management system. Assists Purchasing Director as necessary. Attends meetings as requested.


JOB DUTIES AND RESPONSIBILITIES

Job Specific:
1. Maintains time requirements to place hospital wide supply orders through vendors and computerized systems. (EF)
2. Adheres to Purchasing policies and assists in finding the most competitive prices. (EF)
3. Maintains check on items that may be backordered. (EF)
4. Updates and corrects accounting and price exceptions. (EF)
5. Demonstrates the ability to keep stock items at established levels. (EF)
6. Demonstrates the ability to solicit bids and take part in negotiations with vendors/manufacturers. (EF)
7. Responsible for processing purchase orders, construction purchase orders, capital expenditure requests purchase orders, purchase orders for repairs, emergency items and returns. (EF)
8. Responsible for processing and maintaining purchasing documentation and running reports on open purchase orders, inventory status and receiving reports. (EF)
9. Ability to locate and demonstrate the use of the Purchasing Department Policies and Procedures Manual. (EF)
10. Reviews and checks for accuracy, specification and need and processes all approved orders and requisitions. (EF)
11. Places all orders with distributors utilizing phone or automatic order entry. (EF)
12. Interfaces directly with Accounts Payable in instances where price discrepancies exist between the purchase order and invoice. Approves short payments to distributors for the invoiced price. (EF)
13. Reports all major or consistent price discrepancies to the Purchasing Director. (EF)
14. Coordinates all product returns with various vendors and the Materials Handler. (EF)

  • Adheres to organization-wide and other applicable policies and procedures.
  • Day-to-day performance complies with the hospital’s Service Excellence Behavioral Expectations.
  • Performs within the prescribed limits of the hospital’s Ethics, Compliance and Confidentiality Program guidelines.
  • Performs within professional Scope of Practice at all times.

Minimum Requirements

EDUCATIONAL REQUIREMENTS
Required: High School Diploma or equivalent.

EXPERIENCE
Required: Knowledge of computers and software systems
Preferred: 2 years’ experience in Purchasing/Inventory control and computerized ordering systems.


Special Skills and Abilities:

Required: Good communication skills and public relations, ability to interact with vendors and hospital staff. Able to problem solve and analyze data.

Preferred: Organization and time management skills.
