Job Summary
The Buying Assistant will support the Buying and Inventory teams by monitoring stock levels, ensuring timely replenishment, coordinating purchase orders, and maintaining optimal inventory availability across warehouses and stores. The role requires strong analytical skills, excellent coordination, and advanced Excel capabilities to manage high-volume data and prepare accurate inventory reports.
Key Responsibilities
- Monitor stock levels across warehouses and retail stores to ensure adequate availability.
- Prepare purchase plans based on sales trends, stock movement, and inventory requirements.
- Coordinate with the Purchase team to ensure purchase orders (POs) are raised and placed on time.
- Work closely with the Inventory team and PO Loading team to ensure timely loading and processing of POs.
- Track ordered goods and ensured on-time delivery to warehouses and retail branches.
- Ensure accurate allocation of inventory from warehouses to stores as per planned distribution.
- Resolve discrepancies related to stock, delivery, or allocation in coordination with internal teams.
- Prepare, analyze, and present inventory-related data and insights to management.
- Generate and share daily, weekly, and monthly inventory MIS reports.
- Maintain accurate records of inventory, purchase orders, and stock movements.
- Support continuous improvement in inventory planning and replenishment processes.
Skills & Competencies
- Strong proficiency in MS Excel, including handling large datasets, pivot tables, formulas, and reports.
- Good analytical and numerical skills with attention to detail.
- Strong coordination and communication skills to work with cross-functional teams.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Basic understanding of inventory management, purchasing, and supply chain processes.
Qualifications
- Bachelor’s degree in business administration, Supply Chain, Commerce, or a related field.
- 1–3 years of experience in buying inventory management, merchandising, or a similar role (preferred).
- Experience in retail, FMCG, or distribution environments is an added advantage.
