Buying Center Operations Coordinator (Automotive Dealership)

We are seeking a dynamic and detail-oriented Buying Center Operations Coordinator to join our automotive dealership team. In this pivotal role, you will oversee the scheduling and coordination of vehicle pickups, ensuring our operation runs efficiently at a high volume.

This is not a basic admin role — this is a high-impact position at the center of a fast-moving operation.

What You’ll Do:

· Scheduling & Logistics (PRIMARY FOCUS)

· Coordinate and schedule all off-site vehicle pickups

· Manage driver routes, timing, and availability

· Balance multiple schedules to maximize efficiency

· Adjust plans in real time as things change

· Ensure a high percentage of scheduled pickups are completed

· Operations & Deal Processing

· Build and organize deal packets for drivers

· Complete purchase paperwork accurately

· Stock vehicles into inventory systems

· Contact banks and credit unions to obtain payoffs

· Review paperwork for accuracy and potential fraud

· Communication (Support Role)

· Communicate with customers as needed to confirm logistics

· Keep all parties aligned and informed

What We’re Looking For:

- Highly organized — able to manage multiple schedules, drivers, and deals at once
- Comfortable with technology — able to work across multiple systems, tools, and platforms (tablets, smartphones, computers, etc)
- Detail-oriented — able to catch issues before they become problems
- Fast and responsive — able to adjust quickly in a dynamic environment
- A strong problem solver — able to think ahead and keep things running smoothly

Preferred Experience (Ideal candidate would have some experience in the following but not required):

- Previous experience dispatching, scheduling, or logistics coordination
- Previous dealership admin, title clerk, or operations experience
- Previous BDC or call center experience
- Experience in the service industry (fast-paced, multitasking environments)

Compensation & Schedule

- $25/hour
- Full-time position (must be able to work a 40 hour week)
- Stable schedule

Pay: $23.00 - $25.00 per hour
