The Buying Coordinator supports the Buying, Merchandising, Ecommerce, and Marketing Departments by processing and tracking all product samples from start to finish as they move from receivables through interdepartmental transfer. The Buying Coordinator is responsible for ensuring all product samples meet all of prerequisites for ecommerce and marketing campaigns. This position is also responsible for managing the procurement, preparation, and flow of merchandise samples throughout our photo studio.
Essential Duties and Responsibilities
- Lead the sample process by requesting, tracking, and documenting all incoming and outgoing samples utilizing Microsoft Excel.
- Check-in and tag all samples prior to distributing to appropriate teams ensuring all documentation is accurate.
- Communicate with internal and external partners regarding sample delivery dates, late arrivals, and/or discrepancies.
- Confirm all required samples are delivered to ISS and Marketing in time for photoshoots and that all deliverables are returned and accounted for.
- Collaborate with buying team to identify end of season samples that either need to be sent back to vendors or placed in sample sale on a quarterly basis.
- Utilize Flex and Relevant to help monitor e-commerce sites for accuracy in product debut date, image, and copy.
- Assist in pulling/maintaining samples for floor sets, upcoming meetings, and various projects provided by buying team.
- Organize and maintain all Exclusive Brands sample racks (includes buyer and warehouse racks.)
- Work closely with Assistant Buyer(s) to help create vendor buy sheets and Exclusive Brands sample orders, ensuring accuracy in all product information.
- Compile product images of top/bottom sellers for quarterly reviews using style list provided by buying team.
- Support Assistant Buyer(s) in running weekly, monthly, and/or quarterly reports as needed.
- Demonstrates high level of quality work, attendance and appearance.
- Demonstrates high degree of professionalism in communication, attitude and teamwork with customers, peers and management.
- Adhere to all local, federal and state laws in addition to Company policies, procedures, and practices.
- Performs any other duties that may be assigned by management.
Requirements:
Qualifications
- Strong communication, customer service, time management and organizational skills.
- 2 years of experience working in a similar role
- Excellent written and verbal communication skills
- Strong analytical and decision-making skills
- Proficiency in Microsoft Office with a strong emphasis on Excel
- Exceptional organization skills required as well as the ability to proactively self-prioritize workflow to ensure deadlines are met
- Effective oral presentations with well-prepared content and confident delivery
- Strong negotiation skills
- Ability to work in a fast paced, dynamic environment
- Knowledge of new order management systems
- Detail oriented
- Ability to proactively trouble shoot, and problem solve

PAY RANGE: $20.00 - $21.00/hr.*
