Job Summary/Purpose:
Supervise short term rental car sales in the local market, achieve sales targets, and customer satisfaction index.

1. Check and ensure vehicles availability for rent are cleaned, have valid registration, insurance coverage, number plates, next service date sticker and in good conditions with Al Sayer sticker.
2. Ensure vehicle regular service is done on due date and be aware of the next service date, Kilometers of the vehicle.
3. Verify that the documents submitted by customers in case of repairs, accidents, breakdowns etc... meet the documentation requirements (Police report , Copy of driving license etc) and coordinate with Insurance Companies for recovery of claims.
4. Prepare and update daily report of vehicles movement and service details on VMS.
5. Follow up with Fleet Controller for the availability and delivery of vehicles at all RAC locations and customers.
6. Set sales call plan on day to day basis and submit the monthly turnover report to the Senior Manager, RAC Sales for review and further action.
7. Review and prepare Daily Call Sheets and monthly sales details.
8. Prepare and submit sales forecast report on a periodical basis to ensure availability of stock to meet customer demands. Keep up to date on availability of models with group Sales.
9. Coordinate with the Customers and Sales Executives in order to obtain orders and maintain up to date records and database of existing and prospective customers for business expansion.
10. Check and ensure vehicles are rented out in accordance with the terms and conditions of the Rental agreement and in compliance with company policy.
11. Check and ensure the return of the vehicle as per the Rental Agreement is followed by the customers at the return date. Obtain prior agreement of the return location for extension of rentals and receive appropriate deposit from the customer.
12. Follow up with delayed or defaulted customers for payments, review status and transfer their case to RAC Management for legal action.
13. Receive payment from the customer for missing parts and damage in case it is not covered by Insurance on return the vehicle, ensure documents are prepared and sent to accounts department.
14. Prepare, validate and submit quotations and offer car rental packages to prospects, prepare rental invoices with due dates charges.
15. Validate customers selection in line with customer qualifying policy, keep up to date of blacklisted customers and companies and inform sales team.
16. Ensure that necessary deposits/ bank guarantees are received from the customer prior to the delivery of the vehicles.
People Management:
1. Assign duties and examine work for accuracy, neatness, and compliance to policies and procedures.
2. Check employee attendance and report absence and attendance exceptions, prepare annual leave plan for employees and overtime sheets on SAP for management approval.
3. Explain and advise staff on Group policy and quality standards and ensure adherence to health and safety standards.
4. Provide on the job training and coaching to staff and provide information and necessary material to staff to carry out the jobs.
5. Receive grievances raised by subordinates and promptly escalate such grievances to management.
