Case Manager

Role Summary
You will manage an active caseload from signed client through resolution. Your job is to keep files moving every week, keep clients informed without them chasing us, coordinate treatment and records, and build demand-ready files. You will work closely with the attorney and team to execute fast, accurate case progress.

Key Responsibilities

  • Own day-to-day case management and drive next steps weekly for each file
  • Be a primary client point of contact for updates, expectations, and missing items
  • Coordinate medical treatment, provider communications, and follow-ups
  • Request, track, and organize medical records, billing, and itemized statements
  • Track specials, liens, subrogation, and reductions, and keep documentation clean
  • Support demand package assembly (complete records and bills, exhibits, timelines, photos)
  • Assist with property damage workflows when needed (photos, estimates, total loss documentation)
  • Maintain Filevine accuracy (phases, tasks, notes, deadlines, document naming)
  • Escalate issues early with solutions (treatment gaps, missing records, coverage issues, liability disputes)
  • Follow firm protocols, including no insurance calls without specific attorney authorization

Qualifications

  • Strong client communication skills: professional, calm, firm, and responsive
  • Excellent organization and follow-through in a high-volume environment
  • Comfortable with persistent records and bills retrieval and provider coordination
  • Tech-forward and able to learn systems quickly (Filevine experience strongly preferred)
  • Sound judgment and confidentiality with sensitive client situations

What Success Looks Like

  • Clients feel supported and informed, with fewer inbound “what’s happening” calls
  • Records and bills are complete and organized early, not at the end
  • Files are demand-ready faster because the case has been managed proactively
  • Filevine reflects reality at all times with clear notes and next steps

Job Type: Full-time

Pay: Up to $21.00 per hour
