Case Manager (Direct Hire)

The Case Manager (CM) provides essential administrative and operational support to neutral panelists handling arbitrations and mediations. This role is responsible for ensuring efficient case management processes, delivering an excellent client experience, and supporting the overall success of alternative dispute resolution (ADR) proceedings. The CM will develop a strong foundation in case management while building trusted relationships with clients, panelists, and internal teams.

Responsibilities

What You'll Do

  • Manage case files, maintain accurate records, and ensure all case documentation is current and properly maintained.
  • Prepare and distribute panelist lists in response to arbitration filings or client requests, collaborating with local leadership and internal practice teams.
  • Schedule and coordinate hearings, conference calls, and other case‑related activities to meet the needs of clients and panelists.
  • Provide high‑quality client service by responding promptly to inquiries and information requests.
  • Support assigned panelists with administrative tasks related to their ADR practices and ensure timely follow‑up on case actions.
  • Monitor case deadlines and milestones to ensure matters remain on track and timely.
  • Communicate clearly and professionally with clients, panelists, and team members to resolve routine questions or issues throughout the case lifecycle.
  • Participate in training and development opportunities to become proficient in case management systems, workflows, and organizational processes.
  • Build working knowledge of ADR practices and procedures through hands‑on experience and ongoing learning.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor's degree in Business, Operations, Management, or a related field (preferred).
  • 2-4 years of experience in case management (required).
  • 2-4 years of experience in a legal and/or client service role (required).
  • 1-3 years of experience in a Case Coordinator or similar role (required for internal candidates).
  • Working knowledge of ADR processes and procedures, including mediation, arbitration, and court‑related matters.
  • Familiarity with panelist practice areas, expertise, and preferences within a resolution center environment (preferred).
  • Strong computer skills and proficiency with required software systems.
  • Excellent written and verbal communication skills.
  • High level of emotional intelligence with the ability to remain adaptable under pressure.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast‑paced environment.

Salary:

60K - 78K DOE
