Summary
The Case Manager guides clients through their personal injury case with consistent communication, accurate documentation, and efficient coordination of treatment and property damage (PD) matters. This role ensures that each file is complete, organized, and demand-ready.
Duties and Responsibilities
Client Communication & Case Oversight
● Make regular check-in calls to update clients on case status.
● Respond to client questions and concerns within 24 hours.
● Schedule clients for appointments such as RS (Recorded Statements), EUO (Examinations Under Oath), and HVC (Hearing Video Conferences), and sit in on RS and EUO sessions to take notes.
● Conduct and document intro calls within 24 hours of receiving intake; review intake forms for accuracy and collect missing information.
● Document all client communication clearly and promptly in the CRM.
Medical Coordination & Demand Preparation
● Follow up with medical providers for treatment updates and referrals.
● Track appointment progress and update the case file accordingly.
● Request, organize, and review medical records and bills for demand preparation.
● Organize documents and label files accurately for drop review.
● Ensure all case fields are complete and up-to-date before submission.
● Help prepare monthly demand packages with all required supporting documentation.
● Flag missing or time-sensitive items for review.
Property Damage (PD) Management
● Handle PD cases from start to finish, including collecting estimates, photos, and updates from clients.
● Communicate with clients regarding vehicle repairs and PD status.
● Coordinate with adjusters and schedule PD-related appointments.
● Keep the PD tracker accurate and current.
Team Collaboration & Support
● Keep all CRM case notes, documents, and fields accurate and current.
● Assist with training new team members or covering team caseloads during absences.
Supervisory Responsibilities
● None
Metrics for Success
● Client calls and inquiries responded to within 24 hours.
● 100% of case files demand-ready by established deadlines.
● All PD tracker entries current and accurate at all times.
● Monthly demand packages submitted on time with no missing documentation.
Qualifications
● Proven experience in case management, preferably in a personal injury or legal setting.
● Strong organizational and time management skills.
● Excellent communication and interpersonal abilities.
● Proficiency in case management software and CRM systems.
● Strong computer skills including:
○ Case management software
○ CRM systems
● Ability to handle multiple cases simultaneously while meeting deadlines.
● Attention to detail and accuracy in documentation.
● Bilingual – Spanish/English highly preferred.
Physical Requirements
● Ability to remain seated and work at a computer for extended periods of time.
● Must be able to occasionally stand, walk, and reach to retrieve or file documents.
● Ability to lift and carry case files, office supplies, and small equipment weighing up to 15 pounds.
● Comfortable traveling locally for meetings, court appearances, or client appointments as needed.
● Must be able to communicate clearly in person, over the phone, and via electronic correspondence
Pay: $20.00 - $25.00 per hour
