Position Overview
We are looking for an experienced, motivated, and detail-oriented Case Manager to join our pre-litigation team. The ideal candidate should have prior personal injury case management experience and be comfortable handling cases from intake through settlement preparation.

This position requires someone who can manage a high-volume caseload, communicate effectively with clients, coordinate medical treatment, work with insurance adjusters and providers, and ensure cases are moving forward in a timely and organized manner.

Key Responsibilities

Client Communication & Support

  • Serve as a main point of contact for clients
  • Provide regular case updates and maintain strong client communication
  • Guide clients through the pre-litigation process in a professional and supportive manner
  • Address client concerns and escalate issues when necessary

Medical Treatment Coordination

  • Coordinate medical treatment and follow up with providers
  • Track treatment status and ensure clients are attending appointments
  • Request, review, and organize medical records and billing
  • Assist with resolving gaps in treatment or provider communication issues

Claims & Case Support

  • Open insurance claims and send letters of representation
  • Communicate with insurance adjusters, medical providers, and other involved parties
  • Assist with property damage claims and related case tasks
  • Gather liability, insurance, medical, and damages documentation

Document & File Management

  • Maintain organized case files in Filevine
  • Upload, review, and manage case documents, medical records, reports, and correspondence
  • Ensure case notes, tasks, deadlines, and file updates are accurate and current
  • Prepare files for demand review and litigation transfer when needed

Demand and Settlement Support

  • Assist with preparing cases for demand
  • Gather medical records, bills, liability information, and supporting documentation
  • Work with attorneys and senior team members to move cases toward settlement
  • Follow up on outstanding items needed for settlement negotiations

Case Progress Tracking

  • Track deadlines, follow-ups, treatment status, records requests, and insurance responses
  • Provide case updates to attorneys, managers, and team members
  • Ensure files are actively moving forward and not sitting without action
  • Identify issues that may delay case progress and escalate when appropriate

Team Collaboration

  • Work closely with attorneys, Assistant Case Managers, medical records staff, and management
  • Follow firm procedures, workflows, and case handling expectations
  • Assist with additional tasks as needed based on department needs

Requirements:

  • Prior personal injury case management experience required
  • Strong understanding of the pre-litigation personal injury process
  • Experience communicating with clients, insurance adjusters, and medical providers
  • Ability to manage a high-volume caseload
  • Strong organization, follow up, and multitasking skills
  • Professional communication and client service skills
  • Ability to work in a fast-paced environment
  • Team-oriented mindset and willingness to follow firm procedures
  • Experience using case management software preferred

Preferred Qualifications

  • Experience with Filevine preferred
  • Experience preparing demand packages preferred
  • Familiarity with medical terminology, insurance claims, liens, and property damage claims preferred
  • Bilingual English and Spanish preferred

Pay: $26.00 - $37.00 per hour
