Job Purpose:
To manage daily cash transactions and client-facing payment activities through the invoicing system while providing direct administrative and operational support. This hybrid role supports smooth front-office operations and executive coordination in a fast-paced trading or service-driven environment.
Key Responsibilities:
Cashier Responsibilities
- Operate the invoicing system and process all cash, cheque, card, and credit transactions efficiently.
- Issue accurate sales invoices and payment receipts to clients.
- Reconcile daily cash collections with the accounting system and prepare bank deposit slips.
- Monitor outstanding credit payments and coordinate closely with the accountant for collections.
- Maintain accurate logs of customer collections and credit limits.
- Ensure accuracy of invoice amounts and apply correct taxes (e.g., VAT) as per regulations.
- Handle petty cash disbursements with proper documentation.
Executive Assistant Responsibilities
- Manage the calendar, appointments, meetings, and travel arrangements for the General Manager.
- Prepare quotations, follow up with clients, and maintain client correspondence records and support sales team internal order fulfillment process.
- Prepare RFx, follow up with suppliers, and maintain supplier correspondence records.
- Draft business letters, reports, and documentation for internal and external communication.
- Organize filing systems and maintain digital and physical document archives.
- Assist in coordinating sales visits, logistics updates, and customer service interactions.
- Track internal tasks and deadlines on behalf of the GM across departments (e.g., sales, procurement, logistics).
- Receive visitors, manage calls, and coordinate with clients and suppliers professionally.
Qualifications:
- Bachelor’s degree in Accounting, Business Administration, or a related field.
- 3–7 years of experience in a combined cashier/executive assistant or administrative support role.
- Solid understanding of invoicing systems, invoice processing, and basic accounting principles.
- Strong interpersonal and communication skills in both Arabic and English.
- Proficient in MS Office (Word, Excel, Outlook); familiarity with accounting or ERP systems is a must.
- Discreet, organized, and able to handle confidential information with professionalism.
Preferred Attributes:
- Experience in trading, industrial materials, or B2B customer-facing environments.
- Familiarity with Saudi invoicing and VAT compliance.
- Detail-oriented and customer-service focused with multitasking capability.
Soft Skills:
- Strong analytical and problem-solving abilities.
- High attention to detail and integrity in financial management.
- Excellent communication skills (English is a must).
- Ability to work independently and adapt to changing business needs.
