Cheerfully greet customers whenever you come into contact with them.
· Efficiently route incoming business calls to the appropriate personnel. Refer messages to the correct personnel in a prompt manner.
· Communicate with callers in a friendly and professional manner; minimize the number of times the phone rings to three rings or less, and the amount of time a caller is placed on hold.
· Contact customers (by phone or e-mail) to remind them of service appointments, to notify them when ordered parts have arrived, and after their service visits to ensure they are fully satisfied with the service received.
· Effectively handle customer complaints, directing them to the appropriate department manager.
· Electronically stamp all outgoing business mail. When requested, take outgoing mail directly to the post office. Deliver incoming mail to the Business Manager promptly after it arrives.
· Log customer service appointments on the computer.
· Provide basic information for general inquiries received by customers. Ensure that no information provided is contrary to company policies.
· Scan service and parts invoices and file daily. Maintain all vehicle service files and records.
· Accurately collect/refund cash, credit card, and check payments from/for customers and other businesses for parts and service invoices.
· Reconcile cash drawer at the end of every shift. Minimize discrepancies.
· Close parts and service invoices once payment has been received. Check computer-logged technician flag times and dates against the hardcopy paperwork. Report discrepancies to service advisors or service manager before closing paperwork.
· Efficiently request customer vehicles to be pulled up while collecting payment for services rendered to minimize the amount of time the customer is waiting.
· Prepare parts and service deposit sheets from the prior day’s business each morning for the accounts receivable clerk.
· Package, send, and track warranty-related service invoices for warranty clerk.
· Ensure that all customer areas are clean and organized at regularly scheduled intervals. Frequently check inventory levels of customer amenities.
· Inform appropriate business office personnel when supplies (i.e.-cookies, mailing envelopes, etc.) are needed.
· Frequent cleaning/disinfecting of high-touch areas to eliminate the possibility of spreading COVID-19.
· Issue ‘contact after delivery’ and ‘first free service visit’ letters for all customers who purchased vehicles during the prior day’s business.
· Provide clerical and secretarial assistance to other departments as needed.
· Assist in all other business-related tasks that may come up during the normal course of business.
· Maintain a professional appearance and neat work area.
