The Catering Sales Representative is responsible for generating new business, maintaining client relationships and coordinating details for catered events from initial inquiry through execution. This role serves as the primary point of contact for clients, guiding them through menu selection, event planning, and logistical coordination while ensuring an exceptional customer experience.

Key responsibilities include managing incoming leads, preparing proposals and contracts, conducting site visits, and maintaining accurate event details in the company’s systems. The Catering Sales Representative must be comfortable working in a fast-paced environment, balancing multiple events simultaneously, and maintaining a professional and polished demeanor when interacting with clients.
This role plays a critical part in driving revenue growth, enhancing brand reputation, and delivering memorable hospitality experiences for every client.
Duties
- Respond to incoming inquiries promptly and professionally, providing detailed information on menus, pricing, and event capabilities.
- Meet with clients to understand event needs, provide recommendations, and guide them through menu and service options.
- Prepare customized proposals, contracts, and event orders with accurate pricing and detailed specifications.
- Schedule and lead venue tours, tastings, and client meetings as needed.
- Coordinate with culinary, operations, and service teams to ensure all event details are clearly communicated and executed to standard.
- Maintain organized and up-to-date client records, proposals, and event documentation in the company’s catering software.
- Monitor event timelines, deadlines, and payment schedules to ensure compliance with company policies.
- Assist with on-site event oversight when necessary to support clients and ensure satisfaction.
- Maintain awareness of menu updates, seasonal offerings, and company product knowledge to effectively sell catering services.
- Create detailed event floorplans with a strong understanding of event flow, table sizing, and corresponding linen requirements.
- Meet or exceed monthly and annual sales goals set by management.
Requirements & Qualifications
- At least 3 years' experience in catering sales, event planning, hospitality, or restaurant management
- Strong communication and interpersonal skills, with the ability to build rapport and maintain positive client relationships.
- Excellent written skills for crafting proposals, emails, and event documentation.
- High level of organization and attention to detail, especially when managing multiple events simultaneously.
- Effective time-management skills and the ability to prioritize competing deadlines.
- Sales-driven mindset with strong negotiation and upselling abilities.
- Problem-solving skills and the ability to remain calm and professional under pressure.
- Strong proficiency in Microsoft Office with the ability to rapidly learn and adapt to new software platforms
- Ability to collaborate effectively with culinary, operations, and service teams.
- Comfortable conducting venue tours, client meetings, and on-site event support.
- Professional, polished presentation skills and a client-focused approach.
- Proven track record of meeting sales goals or managing client accounts is a plus.
- Knowledge of food and beverage operations, menu terminology, and event logistics.
- Ability to work a flexible schedule that may include evenings, weekends, and event days as needed.
- Valid driver’s license and reliable transportation for off-site meetings and venue visits (if applicable).
- Ability to stand, walk, and assist on-site during events when required.
