Center Operations Specialist

Overview

The Center Operations Specialist role at USO involves executing day-to-day operations of one or more USO Centers, providing excellent customer service, and maintaining a safe, friendly, and inviting environment for service members. This position may also plan and deliver, or assist in designing, high-quality, self-sustaining and cost-efficient programs, events and activities in locations surrounding the Center(s). It supports volunteers and provides engaging experiences for military service members and their families.

Responsibilities
  • Execute day-to-day Center operational procedures to ensure a cost-effective, safe, welcoming, and clean environment. Monitor facilities and equipment to ensure readiness; enforce sanitary and food-handling guidelines and regulations.
  • Engage with Center visitors, serve as a subject matter expert about amenities, tours, classes, programs and services; troubleshoot issues. May direct and manage vendors.
  • Assist in maintaining Center operations within budget. Monitor and report on inventory, handle cash, and provide data for financial, operational and statistical reports; prepare ad hoc reports as required.
  • Create and maintain a Standard Operating Procedure file detailing local operational procedures and Center activities to enable prompt reporting and easy rotation.
  • Plan and oversee, or lead the execution of, operational areas such as programs, logistics, inventory management, budget, social media, and database management as directed by Center Operations Manager or other leaders.
  • Assist with operations and programs communications and awareness. Prepare announcements, stories and photos for social media, local media and website publications, ensuring content follows USO media guidelines.
  • Deliver or assist in planning and evaluating USO programs, activities and events on and off installations, coordinating materials and assets to ensure effectiveness and efficiency.
  • Support program reviews and needs assessments, researching and recommending new programs and services and implementing resulting changes.
  • Develop and maintain working relationships with the U.S. Military, local community leaders, partners, donors and media representatives to support program delivery.
  • Coordinate with Center colleagues to ensure adequate resources including volunteers, materials, and supplies for all programs and events. Serve as a programs resource and oversee volunteer participation.
  • Communicate with volunteers about shift openings, policy changes, development opportunities, and maintain reports from the volunteer database (hours, applications, etc.).
  • Direct prospective volunteers through the application process; coordinate on-the-job training for volunteers; implement volunteer recognition events and reporting; submit Volunteer of the Quarter nominations.
  • May be required to operate a USO or personal motor vehicle.
  • Other duties as assigned, including backfilling for the Center Operations Manager or other positions as directed.
Job Specifications
  • High School Diploma or equivalent.
  • 2+ years of work experience in event management, marketing, retail, customer service, recreation facility, or related role. Experience in nonprofit, military, multicultural and/or global organization preferred.
  • Strong interpersonal, customer service and problem-solving skills; ability to interact with USO Leadership, the public and military audiences with integrity and professionalism.
  • Proficiency with computers and electronics; working knowledge of Microsoft Office Suite and volunteer management software; experience with social media platforms. Digital Cheetah experience preferred.
  • Ability to exercise sound judgment on sensitive topics; handle confidential information with tact.
  • Ability to manage multiple projects with competing priorities; adapt to changing organizational needs; work collaboratively in a team.
  • Ability to perform basic math and follow cash/donation handling and reporting procedures; budget reconciliation and project management.
  • Willingness to work non-standard hours as needed.
  • General knowledge of military community preferred.
  • Ability to obtain and maintain credentials to access USO Center locations, including security, background checks, SOFA status, and valid driver's license; ability to obtain and maintain valid US passport and foreign driver's license where applicable.
  • Must be a strong advocate of the USO's mission.
