The City of Lansing is seeking a Central Records Specialist to join the Lansing Police Department (Central Records Division). The ideal candidate will possess skill in maintaining records/files, utilizing various programs, establish and maintain effective working relationships, and properly retain and dispense confidential information. SPECIAL REQUIREMENTS & TRAINING:
This position requires that the applicant placed be able to be bonded under the terms of the City's blanket bond. Therefore, applicants cannot have committed any dishonest acts, before or after placement in the position. Applicants must authorize the release of any information from appropriate agencies regarding the applicants' criminal history prior to being given referral consideration.
CANDIDATE(S) IS SUBJECT TO A COMPLETE BACKGROUND INVESTIGATION. Completed Background Authorization Form must be uploaded/attached to application and resume.
Ability to become a Michigan Notary Public upon hire.
IDEAL CANDIDATES WILL POSSESS THE FOLLOWING:
- Associates Degree in Technical, Administration, Business, Criminal Justice, or related field; AND
- One (1) to three (3) years of experience in a customer service-related field.
- An equivalent combination of training and experience may be considered.
ESSENTIAL POSITION FUNCTIONS INLCUDE BUT ARE NOT LIMITED TO:
- Answers multi- line phone and answers inquiries on the phone and in person listening to what individuals need, and verbally provides information regarding general police matters.
- Processes firearm licensing applications, performs necessary backgrounds checks, administers required written test, issues appropriate license and collects associated fees.
- Arrest record checks for individuals, firearm applicants, governmental or criminal justice agencies, employers, and volunteer organizations, collects associated fees.
- Assist and act as a guide and resource with onboarding and training new police cadets, including training materials, organize training files, and conduct training exercises.
- Gathers requested information in accordance with Freedom of Information Act requests.
- Gathers information requested by Court or City Attorney for return of arrest records reports.
- Prepares written activity reports, taken from the daily activity summary report and compiles information regarding the number of firearm applicants, persons fingerprinted for licensing or employment, and the number of criminal fingerprints received.
- Completes electronic and hand-written transactions for money received in payment for traffic and police reports.
- Operates the RMS (Records Management System) entering and retrieving information.
