CEO Coordinator:
The Personal Assistant to the CEO will provide high-level administrative support and manage a wide range of executive tasks to ensure the CEO's day-to-day activities run smoothly. This role requires exceptional organizational and communication skills, as well as the ability to handle confidential information with discretion. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Calendar Management: Efficiently manage the CEO’s calendar, scheduling meetings, appointments, and events. Prioritize and coordinate conflicting schedules and ensure timely reminders.
Communication Handling: Serve as a primary point of contact for the CEO, managing phone calls, emails, and correspondence. Draft and review communications and facilitate interactions with internal and external stakeholders.
Travel Coordination: Organize travel arrangements for the CEO, including flights, accommodations, and transportation. Prepare detailed itineraries and handle travel-related logistics.
Meeting Preparation: Prepare agendas, compile meeting materials, and take minutes during meetings. Follow up on action items and ensure timely completion of tasks.
Document Management: Organize and maintain confidential files and records. Prepare reports, presentations, and other documents as requested by the CEO.
Project Assistance: Support the CEO with special projects, providing research, analysis, and coordination as needed. Assist in the implementation of initiatives and track project progress.
Event Coordination: Organize and manage internal and external events, including board meetings, company functions, and client engagements.
