ole Overview
We are looking for a highly organized, proactive, and trusted Executive Personal Assistant to support the Founder & CEO of a fast-growing telecommunications company.
This role goes far beyond traditional administrative work. The Executive PA will act as the CEO’s execution partner, ensuring follow-ups, coordination, communication discipline, and daily organization across internal teams, customers, partners, and stakeholders.

This role requires maturity, discretion, discipline, and strong follow-through.

Key Responsibilities

  • CEO Support & Time Management
  • Manage the CEO’s calendar and priorities
  • Schedule and organize internal and external meetings
  • Prepare agendas and briefing notes before meetings
  • Ensure meetings are purposeful and time-efficient
  • Protect the CEO’s time by filtering noise and interruptions


Meeting Management & Follow-Up

  • Attend key meetings (internal and external when required)
  • Capture decisions, action items, and responsibilities
  • Send structured follow-up emails after meetings
  • Track execution of agreed actions
  • Ensure no decision or commitment is lost or forgotten


Internal Coordination & Execution Tracking

  • Follow up with department heads on assigned tasks
  • Track deadlines, progress, and blockers
  • Maintain execution lists and status updates
  • Escalate delays or risks professionally and on time
  • Ensure alignment between teams


Communication & Documentation

  • Ensure official communication is done via email
  • Draft and organize professional emails on behalf of the CEO
  • Maintain organized records of decisions and correspondence
  • Coordinate with internal teams, partners, and customers
  • Ensure clarity, traceability, and professionalism in communication


External Coordination

  • Coordinate meetings and follow-ups with:
  • Customers
  • Partners
  • Operators
  • Consultants
  • Service providers
  • Handle logistics, scheduling, and documentation
  • Never negotiate — only coordinate and follow through


Governance & Process Support

  • Support the CEO in enforcing internal processes and discipline
  • Help maintain structure and organization across the company
  • Ensure teams follow agreed workflows and timelines
  • Prepare weekly summaries and status updates for the CEO

Job Requirements

  • Minimum of 3 years and maximum of 5 years of experience as an executive or personal assistant, preferably supporting senior leadership.
  • Proven ability to manage multiple priorities in a fast-paced, hybrid work environment.
  • Exceptional organizational and time management skills with keen attention to detail.
  • Strong written and verbal communication skills.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Ability to work independently and proactively anticipate executive needs.
  • Excellent interpersonal skills and a professional demeanor.
  • Strong problem-solving abilities and resourcefulness.
  • Flexibility to adapt to changing priorities and schedules.

Required Skills & Profile

  • Excellent organizational and follow-up skills
  • Strong written and verbal communication (English required; Arabic is a plus)
  • High level of professionalism and discretion
  • Ability to manage multiple priorities calmly
  • Strong sense of responsibility and ownership
  • Comfortable dealing with senior stakeholders
  • Tech-savvy (email, calendars, documents, basic tools)
