We are looking for a highly organized, proactive, and trusted Executive Personal Assistant to support the Founder & CEO of a fast-growing telecommunications company.
This role goes far beyond traditional administrative work. The Executive PA will act as the CEO’s execution partner, ensuring follow-ups, coordination, communication discipline, and daily organization across internal teams, customers, partners, and stakeholders.
This role requires maturity, discretion, discipline, and strong follow-through.
Key Responsibilities

CEO Support & Time Management

Manage the CEO’s calendar and priorities

Schedule and organize internal and external meetings
-
Prepare agendas and briefing notes before meetings
-
Ensure meetings are purposeful and time-efficient
-
Protect the CEO’s time by filtering noise and interruptions
Meeting Management & Follow-Up
-
Attend key meetings (internal and external when required)
-
Capture decisions, action items, and responsibilities
-
Send structured follow-up emails after meetings
-
Track execution of agreed actions
-
Ensure no decision or commitment is lost or forgotten
Internal Coordination & Execution Tracking

Follow up with department heads on assigned tasks

Track deadlines, progress, and blockers
-
Maintain execution lists and status updates
-
Escalate delays or risks professionally and on time

Ensure alignment between teams
Communication & Documentation

Ensure official communication is done via email
-
Draft and organize professional emails on behalf of the CEO

Maintain organized records of decisions and correspondence

Coordinate with internal teams, partners, and customers
-
Ensure clarity, traceability, and professionalism in communication
External Coordination

Coordinate meetings and follow-ups with:

Operators

Consultants

Service providers

Handle logistics, scheduling, and documentation

Never negotiate — only coordinate and follow through
Governance & Process Support

Support the CEO in enforcing internal processes and discipline

Help maintain structure and organization across the company

Ensure teams follow agreed workflows and timelines
-
Prepare weekly summaries and status updates for the CEO

Minimum of 3 years and maximum of 5 years of experience as an executive or personal assistant, preferably supporting senior leadership.

Proven ability to manage multiple priorities in a fast-paced, hybrid work environment.

Exceptional organizational and time management skills with keen attention to detail.

Strong written and verbal communication skills.

Demonstrated ability to handle sensitive and confidential information with discretion.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.

Ability to work independently and proactively anticipate executive needs.
