Your Impact:

The Charter Sourcing Specialist is a critical link in Jet Access’s charter operations pipeline, responsible for sourcing supplemental lift options, building provider relationships, and moving trip requests efficiently from quote to confirmed booking. This role ensures brokers have accurate, competitive options in hand quickly—and that every confirmed trip is handed off to the servicing stage with precision and complete documentation.


Your Competitive Edge:

  • Hourly rate: $23.00–$28.00/hour, paid bi-weekly
  • This position is classified as FLSA Non-Exempt (Hourly) and will be eligible for Overtime for hours worked over 40 in a calendar week

What the Days Look Like:

  • Schedule: Variable, will transition to 4 x 10-hour shifts per week
  • Coverage window: 9:00 a.m. – 7:00 p.m., Sunday through Saturday; shift assignments rotate to ensure full-week coverage
  • In-office position based in Fishers, IN
  • Fast-paced, high-volume environment requiring quick turnaround on quote requests and booking confirmations
  • Holiday and weekend coverage will be required given the 7-day operational window
  • Occasional flexibility required to support operational needs outside standard coverage windows

Where You Make Your Mark:

As the Charter Sourcing Specialist at Jet Access, you’ll own the supplemental lift sourcing pipeline from initial quote request through confirmed booking handoff—keeping trips moving accurately and efficiently every step of the way. Here’s what your role encompasses:


Supplemental Lift Sourcing & Provider Relationships

  • Build and maintain strong working relationships with supplemental lift providers to ensure reliable access to aircraft options across varying trip requirements
  • Send quote requests to supplemental lift providers promptly upon receipt of broker requests, prioritizing speed and accuracy
  • Compile and evaluate available lift options, presenting brokers with clear, competitive choices based on aircraft type, availability, and routing
  • Support limited negotiations on trip options and pricing as needed to secure the most favorable terms for confirmed bookings
  • Maintain up-to-date knowledge of provider networks, aircraft availability, and market conditions to inform sourcing decisions

Platform Data Entry & Quote Management

  • Enter trip options and sourcing data accurately into Stack.aero, ensuring all relevant details are captured for broker review and markup selection
  • Submit trip data into Avinode in accordance with established workflows and timing requirements
  • Maintain organized records of quote activity, provider communications, and trip status within internal systems
  • Verify data accuracy at each stage of entry to minimize errors and support downstream trip processing
  • Communicate quote status and updates to brokers in a timely manner, supporting informed booking decisions

Booking Confirmation & Contract Execution

  • Upon broker confirmation, generate and distribute charter contracts to clients or brokers for signature collection
  • Receive and log signed contracts, confirming completeness and accuracy before advancing the booking
  • Send payment link to collect credit card authorization in alignment with company payment procedures
  • Confirm the booking with the supplemental lift provider, ensuring all trip details are aligned and acknowledged
  • Maintain clear documentation of booking status throughout the confirmation process to support audit trails and accountability

Trip Packet Creation & Handoff

  • Create complete trip packets via Stack.aero upon booking confirmation, compiling all required documentation and trip details
  • Review trip packets for accuracy and completeness prior to handoff, flagging discrepancies for resolution
  • Execute clean, timely handoffs to the servicing team, ensuring all information is organized and communicated clearly
  • Coordinate with internal team members as needed to resolve outstanding items before the trip advances to the next stage
  • Support process improvement efforts related to trip packet standards and handoff procedures as the role evolves

Accuracy, Efficiency & Continuous Improvement

  • Manage a high volume of concurrent trip requests with consistent attention to detail, accuracy, and follow-through
  • Prioritize tasks effectively to meet quick-turn turnaround expectations without sacrificing quality
  • Track personal performance against key metrics including response time, booking accuracy, and handoff completeness
  • Identify opportunities to streamline sourcing or booking workflows and bring recommendations to leadership
  • Complete special projects and initiatives as needed, embracing opportunities to contribute to Jet Access’s continued growth and success

What Will Make You Successful:

Required Skills & Experience

  • 1–3 years minimum experience and involvement in charter operations, off-fleet sourcing, trip coordination, aviation sales support, or a related role; demonstrated ability to manage high-volume, detail-intensive workflows
  • Strong attention to detail and commitment to accuracy in data entry and documentation across multiple platforms
  • Excellent written and verbal communication skills with the ability to correspond professionally with brokers and supplemental lift providers
  • Effective time management and prioritization skills; ability to work quickly and accurately in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Office Suite; comfort learning and working within aviation-specific platforms such as Stack.aero and Avinode
  • Ability to work a variable schedule including weekend coverage as part of a rotation
  • Must pass background checks and pre-employment screening

Additional Qualities That Will Make You Successful:

  • Familiarity with Part 135 charter operations, supplemental lift sourcing, or off-fleet coordination
  • Experience with Avinode, Stack.aero, or comparable aviation management and quoting platforms
  • Established relationships with supplemental lift providers or prior experience in a vendor-facing coordination role
  • Demonstrated track record of thriving in high-volume, accuracy-critical environments
  • Ability to assist with servicing functions as training and business needs allow, supporting team flexibility and coverage depth
