Major/Essential Functions

Maintain data and retrieve statistical information for reporting/generate reports as requested by Associate Dean, Senior Director and Director as needed for recruitment and outreach purposes in a secure and confidential manner with 100% accuracy by requested deadlines, in accordance with institutional and departmental policies and procedures, in accordance with instructions from Associate Academic Dean and Senior Director
Prepare data reports for recruitment efforts, accreditation cycles and scholarly activities for students and faculty. With 100% accuracy to ensure compliance with institutional requirements. In accordance with instructions from Associate Academic Dean, Senior Director and Director
Oversee IRB submissions for research studies. To ensure accurate and timely compilation and dissemination by established deadlines in accordance with institutional and departmental policies and procedures, in accordance with instructions from Associate Academic Dean and Senior Director
Screen and evaluate medical school applications with 100% accuracy and in compliance with TMDSAS and institutional requirements and deadlines. Ten applications must be screened daily.
Identify appropriate grant opportunities for the Office of Admissions in accordance with institutional policies and procedures and institutional compliance
Prepare grant applications for external funding opportunities with 100% accuracy to ensure compliance with institutional requirements
Assist in monitoring Axiom, BANNER, TMDSAS, and AMP to ensure that all applicants have accurately transferred within systems and status have changed with 100% accuracy to ensure functionality of the system. Report and rectify system errors as they are discovered
Assists in the preparation/conduct of interview days and subsequent Admissions Committee meetings including assisting Associate Director with interviewer scheduling, interviewer recruitment, candidate scheduling and multiple mini interview (MMI) circuit setup. Tasks completed by established weekly deadlines and on interview days on emergent basis (as needed)
Assist the Assistant Director of Recruitment in advising students concerning course requirements, application process, academic qualifications and other components of a competitive application. Provide accurate information tailored to the specific needs of the individual requester
Assist with outreach/pipeline programs as needed. In a professional manner to support program goals and represent TTUHSC EP and PLFSOM
Perform other duties as assigned in a timely manner and accordance with the requirements/instructions of the Associate Academic Dean, Senior Director or Director
Remains current with all licensure, certifications and mandatory compliances and trainings required of this position
Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.)
Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution
Perform all other duties as assigned

Required Qualifications

Bachelor's degree required plus five years progressively responsible related experience.

Preferred Qualifications

Ability to work independently, to set priorities, and to take action without supervisory intervention
Technical skills in creating work flow data processes within student tracking platforms
Experience in identifying funding opportunities and submitting grant applications, training in statistical analysis and data management
Knowledge of professional school admissions processes
Knowledge of mapping within Office of Admissions software (Banner, Ellucian, AXIOM, AMP, & TMDSAS)
Knowledge of standard office software (Microsoft Office applications)
Knowledge of institutional admissions and academic policies
Ability to work weekends and late hours on a non-routine basis
Ability to communicate effectively orally and in writing
Must demonstrate completed college level coursework in statistics and/or biostats covering the following topics: • Inferential Statistics • Descriptive Statistics • Multivariate Methods • Hypothesis Testing • Linear • Models & Regression. • Grant writing experience. • Competent in excel, use of software platforms to maintain large databases
