Chief of Staff

Engagement Type: Independent Contractor (1099) – No benefits included

Location: Denver, CO area (required)

Work Type: Primarily remote with occasional in-person work (2–4 times per month)

Schedule: Flexible

Compensation: $30-40/hour

Expected Hours: 20–35 hours per week

Role Overview

We are seeking an organized, detail-oriented Chief of Staff to support leadership and manage community operations for our group coaching business. This is a hybrid role that combines executive-level administrative support with community management, AI-powered content creation, and operational excellence. The ideal candidate will be proactive, adaptable, and comfortable working across multiple platforms and prioritizing responsibilities. This role is increasingly AI-forward—we leverage AI tools across every part of the business and expect this to accelerate.

Key Responsibilities

Executive & Administrative Support

  • Manage the founder’s email inboxes, including triaging messages, responding on his behalf where appropriate, and delivering concise daily summaries
  • Coordinate and maintain calendars, schedule meetings, and manage appointments
  • Arrange travel logistics including flights and accommodations for both business and personal trips
  • Handle a variety of personal administrative tasks to support the founder’s day-to-day life
  • Liaise with the founder’s household manager to ensure clear, timely communication around personal and household needs

Community Management

  • Serve as the primary point of contact for members of the founder’s group coaching community
  • Onboard new members and ensure a smooth, welcoming entry into the community
  • Communicate any scheduling changes and updates to the community promptly
  • Attend all weekly group coaching calls; manage post-call administration, including downloading recordings, uploading to Mighty Networks, and producing call summaries with AI tools

Podcast Administration

  • Coordinate podcast recording sessions, including guest scheduling
  • Gather guest bios and other materials needed for production
  • Oversee editing and production team to manage the production and release schedule of podcast episodes
  • Post podcast episodes weekly using the Blubrry podcast platform

Content Creation, AI & Social Media

  • Leverage AI tools—particularly Claude by Anthropic—to draft, repurpose, and optimize content across all channels
  • Clip and repurpose video content from coaching calls and podcast recordings using AI tools such as OpusClip
  • Create and schedule daily content across Instagram, Facebook, and LinkedIn to promote the founder’s coaching business and podcast
  • Maintain a consistent posting cadence aligned with the founder’s brand voice
  • Stay current on emerging AI capabilities and proactively identify new tools and workflows to improve speed, quality, and output across the business

Event Coordination

  • Support basic planning and logistics for recurring events including the founder’s annual retreat and private events hosted at his residence
  • Coordinate catering, vendors, guest logistics, and on-site details to ensure seamless execution

Ideal Candidate

  • Mission-driven: You want your work to serve something bigger than a bottom line. You’re drawn to organizations that are genuinely trying to help people and make the world better.
  • Proven experience in an executive assistant, operations, or community management role
  • Excellent written and verbal communication skills; comfortable representing a high-profile founder
  • AI-fluent: Confident and curious user of AI tools, with strong familiarity with Claude (Anthropic) and modern content platforms. Bonus if you have experience setting up and using AI agents to automate workflows.
  • Highly organized with the ability to manage multiple priorities and a shifting workload
  • Business operations experience is a strong plus
  • Self-starter who thrives with autonomy and is comfortable solving problems proactively and making decisions without constant oversight

Required Skills & Qualifications

  • Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Strong communication skills, both written and verbal, with the ability to represent the founder professionally in all correspondence
  • Proficiency with calendar management, scheduling, and Google Workspace platforms
  • Strong proficiency with social media (Instagram, Facebook, LinkedIn)
  • Proficiency with AI platforms—especially Claude—and content creation tools, with a willingness to learn new tools as they emerge
  • Ability to take ownership of projects from conception through execution with minimal oversight
  • Comfortable working in a dynamic environment where responsibilities may shift based on business needs
  • Strong customer service skills and the ability to build positive relationships with community members
  • Experience with event planning logistics is a plus
  • Experience setting up or working with AI agents is a strong plus

Pay: $30.00 - $40.00 per hour
