The Tiburon chief of staff role presents a unique opportunity for a mid-level executive to work directly with the firm’s managing partner, while serving 700+ corporate and 3,000+ individual C-Suite Tiburon members. The role is to assist the managing partner in managing a successful multi-faceted business, and to assist in major transformations to a more streamlined business model, a remote work environment, and potentially a new ownership structure. This opportunity is for someone wanting a fast-paced culture, who can independently solve problems across a broad range of issues, who wants to get ahead in their career, and who is willing to work overtime as needed; this is not a role for candidates seeking to take it easy, to be given daily direction, or to learn over a long time period. This role requires broad skill sets; the right candidates must be organized, efficient, humble to immediately and independently execute on many tasks, and savvy enough to lead others to a shared vision in the mid-term. Knowledge of PowerPoint is required. Knowledge of Salesforce, Mailchimp, and SurveyMonkey would be a plus. Prior human capital management experience is required. This opportunity would be best fulfilled part-time in Tiburon, CA in the near term (e.g., for about six months before the firm moves to a remote business model); subsequently, candidates in CA, NY, and FL would be best positioned to work in-person periodically with the firm’s managing partner.

Chief of Staff Detailed Job Responsibilities:

1. Manage preparatory & onsite aspects of semi-annual Tiburon CEO Summits (e.g., steering committee & speaker calls coordination & documents; food & beverage and audio-visual coordination; restaurant, transportation, & photographers coordination; name badges; desk staff; etc) (Maybe Ten Hours Per Week When in Season):

  • Develop Tiburon Research Releases to promote
  • Prepare documents for steering committee calls & meetings, speakers calls, and Tiburon CEO Summit moderators (and attendee list for steering committee)
  • Manage hotel relationship & budget (e.g., Food & Beverage; Audio Visual) (seek to replicate early in cycle and then improve; document to business plan)
  • Manage other vendors (e.g., restaurant; ferry boat; bus; photographer; name badges; desk staff; consumers)
  • Manage onsite professionalism (e.g., moderator presentation; name badges; desk staff; etc.)

2. Manage preparatory aspects of annual Tiburon charitable activity (building homes for the poor in Mexico) (e.g., manage participant registrations; organize logistics; etc) (Few Hours Per Week When in Season):

  • Develop Tiburon Research Release to promote
  • Plan logistics (e.g., registration fee payments; room assignments; house assignments; flight arrivals & pick-up)
  • Organize Tiburon employee participation (e.g., flights; car services; prep mtg)

3. Manage new employee recruiting & onboarding (e.g., manage job postings; organize interview schedules; set up new employees on payroll; train new employees; set up eligible employee with healthcare insurance benefits; organize weekly analyst learning experiences) (Few Hours Per Week When Recruiting; Limited Time Otherwise):

  • Post jobs (Indeed)
  • Organize interview schedules (e.g., screening interview; CMR role interview; role presentation; follow up Q&A)
  • Set up new employees on payroll
  • Train employees in office operations and organize training with other employees regarding specific job duties (take accountability for new employees being well trained)
  • Set up employees when eligible for healthcare insurance
  • Organize weekly analysts learning experiences

4. Assist research & publishing analysts with research issues and review quality & format of daily work (One-Two Hours Per Day):

  • Tiburon CEO Summit keynote presentation
  • Topics
  • Profiles

5. Assist service, sales, & marketing analysts as requested and review quality & format of daily work (One Hour Per Day):

  • PP (Campaigns & Research Release Returns)
  • JC (PIs/PAs & News Analyses)
  • WB (Campaigns & Alpha Analyses)

6. Assume bookkeeping duties and complete various business management analyses (e.g., CPA firm choice; insurance renewals; etc) and make recommendations to managing partner) (Five Hours Per Week):

I. Bookkeeping

  • Issue annual invoices & record in QBs
  • Pay bi-weekly payroll (move on to Pay Flex system for self-submission) & record in QBs
  • Pay bills (auto pay exists in most cases) & record in QBs
  • Balance bank statements with QBs monthly
  • Work with CPA firm to prepare annual tax returns (recent issues => Review Health Insurance (6140); move CMR portion to Supplemental Benefits (6020); Review & eliminate Uncategorized Expenses (69800); Confirm recording of Tiburon Partners Fund interest & dividends versus appreciation; Confirm taxes payable liabilities; Confirm payroll liabilities’ Align revenue deferrals (2021-2025) (ensure all reversed & match online totals); Align member expenses (2021-2025))

II. Business management analyses

  • CPA firm choice
  • Insurance renewals
  • 401K plans

7. Manage office efficiency (e.g., watering plants; retrieving & processing mail; ordering supplies; managing cleaners & other vendors; etc.) (30 Minutes Per Day):

  • Water plants
  • Retrieve & processing mail
  • Order office supplies (and return printer cartridges)
  • Manage cleaners & other vendors

8. Serve as a sense of maturity and a steady in “office” presence daily (via technological presence after move to remote business model) (30 Minutes Per Day):

  • Contact all employees daily, seek to understand & assist with obstacles, report important issues and resolutions to managing partner (results measured in employee retention & satisfaction)

Chief of Staff Expected Compensation Range & Application Process:

Tiburon expects to offer $35-$45 per hour plus overtime to the successful chief of staff candidate based on proven experience and early results. Healthcare insurance and paid time off are also offered on the first day of a month after 90 days of employment.
