Child Psychiatry Practice Assistant II

The Practice Assistant sits at the front desk of the Child and Adolescent Psychiatry Clinic and handles the day-to-day operations of the clinic. The Practice Assistant acts as a liaison between patients and their providers, schedules appointments, resolves problems, and performs clerical duties. The patient population of the department is high acuity with complex psychiatric disorders, co-morbid medical issues, and/or substance use disorders. The Practice Assistant will join a dynamic team to ensure our patients receive the highest quality customer service and our providers are well supported.


Job Summary

The Practice Assistant will perform administrative and clinical functions to support smooth and efficient operations under supervision of the Practice Assistant Lead.
Administrative duties related to patient visits include but are not limited to:
  • Courteous and timely response to patient inquiries via in-person, phone, e-mail, and Epic system.
  • Schedules appointments, updates provider schedules, and ensures patients are seen for follow-up at appropriate intervals
  • Performs patient Check-in/Out duties including accepting and processing co-pays
  • Assists patients when needed with paperwork, arranging transportation or interpreters, or other needs
  • Fulfills medication refill requests and problem solves issues with pharmacies
Other clerical duties may include:
  • Supporting 50+ clinicians and 20+ trainees with administrative duties like letter drafting, filling forms, mailing, faxing, etc.
  • ensure patient's insurance eligibility and resolve issues with payers.
  • Writes appropriate notes in medical record pertaining to administrative work or issue resolution

Education
High School Diploma or Equivalent required

Experience
office experience 2-3 years required

Knowledge, Skills and Abilities
  • Proficiency with all Office Suite, Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Able to work as part of a team unit with minimal supervision
