Job type: Part-time

Daily Shifts spanning Monday to Thursday/Friday, Sunday morning (maximum 30 hours). Hours are flexible and to be mutually agreed upon.

Acton Congregational Church (ACC) is seeking to fill the key role of Church Administrator in our friendly, active office. Reporting to the senior minister, this individual will be a self-starter with great ideas to help our church run efficiently so we can serve the community and seek to live God’s love. Located in the heart of the town’s center, ACC is an Open and Affirming church that welcomes all—and our church administrator is the public-facing embodiment of that welcome. In that sense, you are a people person who can still set clear boundaries and get things done. The individual who fills this position will work collaboratively with an office assistant, facilities manager, finance specialist, church committees, and church members.

Key Attributes: The Church Administrator is organized, proactive, a strong communicator, and an independent thinker who can prioritize a variety of responsibilities.

Key responsibilities:

Works closely with the senior minister and staff, managing the church’s daily activities and operations, including:

· Management of all logistics around key pastoral events such as baptisms, weddings, memorials, and funerals.

2. :

· Top priorities are proactive calendar and meeting management.

· Serve as primary partner to Senior Minister, anticipating needs, preparing materials proactively, and protecting the minister’s time for pastoral and ministerial work.

· Serve as initial point of contact with potential renters of church space.

· Coordinate closely with facilities staff regarding maintenance of physical space including annual inspections, heat and automated door settings, and work done by outside vendors (copier maintenance, painting, plumbing, electrical, etc.).

· Order supplies for worship, programs, and building in collaboration with facilities.

· Coordinate the production of the Annual Report with input from committees and church staff.

· In coordination with the Church Clerk, oversee membership-related records and requests, maintain membership database, and produce member directory.

· Administer church records and official documents.

· Administer CORI/SORI process.

· Oversee file structure for digitized church records.

· Coordinate communications concerning phone calls, emails, church voicemail system, and emergency services process.

· Work with committees to oversee sign-up process for church activities and coordinate room assignments, Zoom meetings, AV support, supplies, and furniture setup for church programs.

· Maintain or obtain proficiency in usage of Microsoft Office software at administrative level. Items to be managed include new employee onboarding, staff departures, shared mailboxes, email groups, and distribution lists.

· Management of Communications Coordinator, who is responsible for production of E-news, weekly bulletin, website updates, and the livestream PowerPoint slides as well as publicity through social media and local news platforms.

· Process invoices and reimbursements to be forwarded to Financial Specialist.

· Credit card tracking and coding.

· Coordinate with finance specialist, stewardship committee, and trustees on pledging and other donations.

· Support annual audit by providing copies of the Annual Report, the Bylaws, and Annual Meeting and other congregational meeting minutes to the CPA.

Required skills:

  • Bachelor’s degree preferred with three years minimum experience in an equivalent role.
  • Strong interpersonal, verbal, and written communication skills; simple graphic design and proofreading skills a plus.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Commitment to inclusion, confidentiality, and teamwork.
  • Strong computer skills with the ability to learn new application software; we currently use Microsoft Office Suite, Canva, and Servant Keeper church database software.
