Job Summary
We are seeking a dedicated and organized Church Secretary to serve as the administrative backbone of our church community. In this vital role, you will manage daily office operations, coordinate communications, and support church staff and congregation members with professionalism and warmth. Your proactive approach and excellent organizational skills will ensure smooth administrative workflows, allowing our church to focus on its mission and community outreach. Duties

  • Serve as the first point of contact by managing front desk responsibilities, greeting visitors, and providing exceptional customer support.
  • Operate multi-line phone systems with professional phone etiquette, directing calls efficiently and courteously.
  • Maintain accurate records through data entry, filing, and managing church databases using tools like Microsoft Office, Google Workspace, and QuickBooks for bookkeeping purposes.
  • Oversee calendar management for church events, meetings, and appointments, ensuring all scheduling is up-to-date and well-coordinated.
  • Handle correspondence including proofreading, mailing, email communication, and document preparation with attention to detail.
  • Support office management tasks such as inventory control, supply ordering, and maintaining a clean, organized workspace.
  • Assist with clerical duties including typing, proofreading documents, managing church records, and supporting personal assistant tasks for senior staff when needed.

Qualifications

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks for bookkeeping.
  • Excellent phone etiquette with experience managing multi-line phone systems in a professional setting.
  • Strong clerical skills such as data entry, filing, proofreading, and document management.
  • Experience in office management or administrative support roles within a church or similar organization is preferred.
  • Ability to prioritize tasks efficiently using time management skills in a fast-paced environment.
