Civil Court Services Supervisor

SUMMARY

In support of the Charlotte County Clerk of the Circuit Court and County Comptroller’s Core Values, this position is responsible for ensuring staff consistently deliver exceptional customer service with a positive and professional demeanor. This is a complex role that involves direct interaction with employees, the public, and court personnel.


The position oversees and coordinates advanced tasks and responsibilities within the Civil Court Services Divisions, including Appeals, Child Support, Court Records, Domestic Violence, Family, Foreclosures, Jury Services, and Small Claims. Key duties include assisting court staff and the public with matters related to Civil Division records. Additionally, this role supports the Civil Court Services Manager and Chief Operations Officer with work schedules, performance evaluations, training, and attendance tracking for subordinate staff, ensuring alignment with the office’s Mission, Vision, and Core Values.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists with the development and revisions of processes and procedures. Evaluates and make suggestions for improvements to procedures, processes and/or advises Director of any changes needed to current approved procedures.
  • Adheres to and promotes the culture of the office and the Clerk’s Office Mission, Vision and Core Values.
  • Works with staff to ensure they are following the Mission, Vision and Core Values of the office.
  • Provides guidance and training procedures regarding applicable rules, laws, and regulations to employees.
  • Schedules staff duties and coordinates various department activities. Monitors attendance and leave records for employees.
  • Knowledgeable in all aspects involved in the performance of the various duties of the Civil Division.
  • Prepares various forms and correspondence.
  • Provides guidance and clarification for more complex records requests.
  • Responsible for the recording and balancing of the daily cash receipts by maintaining daily cash logs and preparing daily cash reports.
  • This position fulfills an essential role in the Clerk’s Office. In the event an emergency has been declared this position is required to be available to work.

OTHER SKILLS AND ABILITY

  • Demonstrated knowledge and ability to use all office automation technology equipment; this includes computers, scanners, printers, etc.
  • Effective communication, leadership and organizational skills are required with the ability to train and motivate subordinates and/or resolve problems and offer solutions in order to meet employee/department needs.
  • Must be able to take initiative and exercise sound judgment concerning matters related to the services provided.
  • Must be able to work cooperatively as a member of a team, work well under pressure and take independent initiative when necessary.

SUPERVISORY RESPONSIBILITIES

Assists the Chief Operations Officer and the Department Supervisor in the court records, domestic violence, appeals, and child support services departments. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Is responsible for the overall direction, coordination, and evaluation of these units. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) and a minimum of three (3) years department and/or supervisory or managerial experience or equivalent combination of education and experience required. A/S or B/S degree in Criminal Justice is a plus. Clerk of the Circuit Court Civil and/or Criminal Court experience is preferred.
