Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
  • Perform data entry tasks using software such as QuickBooks, Microsoft Office, and Google Workspace to maintain accurate records
  • Organize and file documents systematically, including digital files and physical paperwork, ensuring easy retrieval
  • Support office management activities like calendar scheduling, appointment setting, and basic bookkeeping tasks
  • Assist with proofreading correspondence, reports, and other documents for clarity and accuracy
  • Provide excellent customer service by addressing inquiries promptly and supporting clients or patients in person or over the phone

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Previous office or clerical experience demonstrating organizational skills and attention to detail
  • Excellent typing speed and accuracy for efficient data entry and document processing
  • Knowledge of office management procedures including filing systems, calendar management, and record keeping
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Familiarity with multi-line phone systems, phone etiquette, and customer support best practices
  • Experience with QuickBooks or bookkeeping is advantageous for handling basic financial tasks
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Personal assistant or medical/dental receptionist experience is beneficial for understanding specialized office environments
  • Proofreading skills to ensure professional quality in all written communications
