GCC Consulting is a fast-growing medical consulting and marketing agency specializing in aesthetic medicine, plastic surgery, and wellness. We partner with leading practices nationwide to deliver high-touch support in digital marketing, strategic growth, and operational consulting.

Our team includes both in-house and remote professionals working collaboratively across operations, creative, and account strategy. We are seeking a highly organized and proactive CEO Assistant – Project & Client Account Liaison to streamline internal systems, manage cross-functional execution, and support the CEO in driving strategic initiatives forward.

Role Overview

This full-time position is primarily remote, with some onsite meetings at our Irvine, CA office as needed. The CEO Assistant – Project & Client Account Liaison is responsible for optimizing daily operations, managing project timelines, tracking deliverables, and ensuring accountability across departments in tandem with other assistants in the same team.

You will work closely with the CEO and admin team to operationalize goals, maintain project momentum, and support client communications and quality control particularly when the CEO is unavailable. This includes participating in select client calls, delegating tasks, and ensuring deliverables meet brand and quality standards.

Key Responsibilities

  • Maintain internal systems, SOPs, and process documentation
  • Manage project timelines, task assignments, and resource coordination
  • Track cross-functional deliverables to ensure all deadlines and quality standards are met
  • Participate in client calls and represent the CEO as needed
  • Delegate tasks and maintain accountability across internal and external team members
  • Perform quality control on deliverables, including copy proofing and brand alignment
  • Translate high-level strategy into actionable project plans with clear milestones
  • Identify workflow inefficiencies and implement solutions to streamline execution
  • Maintain visibility across all active accounts to ensure consistent and timely delivery

Client Onboarding & Project Initiation

  • Lead onboarding calls and align on timelines, assets, and access
  • Set up project systems in Slack, Trello, Notion, and Google Drive
  • Coordinate with internal teams
  • Build and maintain project timelines and campaign trackers

Ongoing Account & Campaign Management

  • Serve as the primary point of contact for assigned clients
  • Maintain weekly communication and send status recaps, reports, and updates
  • Co-host or coordinate recurring calls: strategy, performance, or feedback
  • Manage approvals for deliverables

Internal Coordination & Execution

  • Collaborate across departments to ensure the timely delivery of all tasks
  • Use Trello and Notion to assign tasks, track progress, and manage workflow
  • Ensure accurate internal and client-facing updates
  • Escalate blockers and flag issues proactively

Reporting & Performance Oversight

  • Share weekly and monthly performance updates and insights
  • Facilitate strategy sessions based on data and performance trends
  • Maintain dashboards, trackers, and shared reporting folders
  • Ensure clients are aligned on KPIs and aware of key wins or challenges

Client Retention & Relationship Building

  • Proactively identify risks or opportunities and recommend optimizations
  • Manage feedback, client satisfaction, and milestone gifting
  • Assist in renewals, upsells, and expanding client service plans
  • Build trust and long-term relationships through responsiveness and value

Required Skills & Experience

  • 1–2 years in a client-facing project or account management role (agency preferred)
  • Excellent communication, writing, and organizational skills
  • Experience managing timelines and remote teams across departments
  • Comfortable in a deadline-driven, client-first environment
  • Proficient in Trello, Notion, Slack, Google Workspace, and Google Meet

Job Type: Full-time

Pay: $25.00 - $30.00 per hour

Expected hours: 30 per week
