Summary of the position

This position will support a group of Business Development Advisors across the firm in Event Planning and Marketing support to facilitate the growth of the business. This position will help the Business Development Advisors focus more efficiently on business development and strategic oversight. The Client Administration Associate tasks include:

  • Managing event planning for business development across many different locations in Florida and other states
  • Work in conjunction with the Marketing Department and Compliance to ensure presentation and/or correspondence is prepared
  • Pulling reports from Salesforce to support Business Development Advisors in understanding business inflows/outflows and maintaining prospect pipeline
  • Food ordering or gift coordination
  • Back up and work alongside our Administrative Assistant as needed

Responsibilities

  • Marketing liaison/coordination and event planning
    • Planning small scale and larger events, including:
      • Client Appreciation Events (all clients)
      • Prospect/Client Presentations (Schwab or Fidelity)
      • Prospect/Client Happy Hours or dinners (Schwab or Fidelity)
      • Breakfast or lunch orders for Schwab branch visits
      • Internal events & holiday party
      • Community outreach/volunteering
    • Booking vendors as needed
      • Caterers
      • Photography
      • Entertainment
      • Tables
      • Linens
      • Decorations
      • Day of Coordinators
    • Works with Marketing or Tech for the following:
      • Presentation Material creation and editing
      • Pulling Guest Lists for events
      • Save the Dates, Invitations, and RSVPs through Pardot
    • Creates content/materials as needed and works with Compliance on approval
    • Sequoia Brochure preparation/binding
    • Ordering of:
      • Business Cards
      • Letterhead
      • Client gifts
      • Branded Merchandise
        • Yetis
        • Tablecloths
        • Nametags
        • Phone Charging Stations
        • Golf Balls
        • Covers for Binding
    • Meet with Business Development Advisors to review current activities by pulling Salesforce on business pipeline and AUM inflows/outflows
    • Work alongside our Administrative Assistant to provide back-up as needed. Duties can include:
      • Answering phones
      • LinkedIn Postings
      • Mail management/check processing
      • Facilities management
      • Supply ordering
      • Data Entry into Salesforce
      • Greeting Clients

Required Skills/Experience

  • Minimum of 2 years work experience in event planning/coordination or similar role
  • Ability to be flexible and iterate based on needs of the firm

Preferred Skills/Experience

  • PowerPoint, Outlook, Word, Excel
  • Experience with Salesforce preferred
  • Corporate event planning preferred
  • Wealth management industry experience a plus
