Job Overview
The Client Coordinator is the first and last impression our clients have at Blank Removal. You will manage all aspects of the front desk operation — from scheduling and check-in to client communication and appointment flow. The ideal candidate is professional, personable, detail-oriented, and skilled at keeping a busy spa running smoothly while ensuring every client feels welcome and valued.
Duties
- Serve as the primary point of contact at the front desk, greeting clients warmly and managing check-in and check-out with efficiency and professionalism.
- Manage the daily appointment schedule across all providers and services, ensuring accurate booking, timely flow, and minimal wait times.
- Confirm upcoming appointments via phone, text, or email and follow up on cancellations or no-shows to maintain a full schedule.
- Coordinate client intake paperwork, pre-treatment instructions, and post-visit documentation in the practice management system.
- Monitor and communicate real-time schedule adjustments to the clinical team to ensure a smooth and on-time client experience throughout the day.
- Answer inbound calls and messages, respond to client inquiries about services, pricing, and availability with confidence and accuracy.
- Collect payments, process transactions, and issue receipts at the point of service.
- Maintain a clean, organized, and welcoming reception area that reflects the premium brand standards of Blank Removal.
- Assist with retail product display, inventory tracking, and light merchandising at the front desk.
- Support client retention by facilitating rebooking, communicating promotions, and flagging follow-up opportunities to the clinical team.
Qualifications
- Minimum 2 years of front desk, receptionist, or client services experience — preferably in a spa, medical spa, salon, or healthcare setting.
- Strong organizational skills with the ability to manage a multi-provider schedule without errors or gaps.
- Excellent verbal and written communication skills; professional and polished in all client interactions.
- Proficiency with scheduling and practice management software (e.g., Mindbody, Boulevard, Vagaro, or similar).
- Comfortable handling payment processing and basic point-of-sale transactions.
- Calm and solutions-oriented under pressure, with the ability to manage a busy front desk during peak hours.
- Reliable, punctual, and committed to upholding a high standard of client care.
- Team player who communicates proactively and supports clinical staff in delivering a seamless client experience.
Pay: $25.00 per hour
