Summary

We are seeking a detail-oriented, people-first Client Experience Coordinator who brings strong organizational skills, a warm professional presence, and a genuine personal passion for health and wellness. This role sits at the intersection of client services, front desk operations, and administrative support, and plays a key role in ensuring clients feel supported, connected, and confident throughout their experience with us.

The ideal candidate believes in proactive, preventative health, is curious about how lifestyle choices impact long-term wellbeing, and is excited to support meaningful client relationships within a wellness-focused environment.

The Client Experience Coordinator plays a critical role in shaping how clients engage with our services. By supporting seamless operations and meaningful client connections, this role helps ensure every interaction reflects our commitment to thoughtful, personalized, and preventative wellness.

Responsibilities

Client & Member Experience

  • Serve as a primary point of connection for clients and members, both in person and via phone/email
  • Support new member onboarding and initial connectivity to services and appointments
  • Assist with scheduling, appointment confirmations, and reminder calls/messages
  • Communicate clearly and professionally with clients to ensure a smooth, supportive experience

Front Desk & Studio Operations

  • Provide front desk coverage during assigned hours
  • Support daily studio operations, including organization, flow, and client support
  • Maintain a clean, organized, and welcoming environment that reflects the WellWay experience
  • Assist with general administrative tasks to keep the studio running efficiently

Qualifications & Skills

Experience & Capabilities

  • Strong interpersonal and communication skills
  • Highly organized with strong attention to detail
  • Comfortable managing multiple priorities in a dynamic environment
  • Customer-service oriented with a warm, professional demeanor
  • Proficiency with scheduling systems, email, and basic digital tools

Wellness Alignment

  • Genuine personal interest in health, wellness, and preventative care
  • Alignment with a proactive, long-term approach to health (not quick fixes)
  • Curiosity and willingness to learn about our services, assessments, and model of care
  • Ability to speak authentically and confidently about wellness offerings with clients

Preferred (Not Required)

  • Prior experience in client services, front desk, administration, or operations
  • Exposure to wellness, fitness, nutrition, or healthcare environments
