The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The Client Records Supervisor is appointed by the Director of Quality Assurance. The position is responsible for supervising the staff of the Client Record Department and to direct operation of the department to ensure continuity of services. Additional duties include but are not limited to acting as DSSLC CARE Coordinator and providing needed liaison activities with State Office Personnel as required. The position will abide by all DSSLC policies and procedures as well as maintain an effective, harmonious working relationship with all staff, families, and individuals.

Essential Job Functions (EJFs):

1. Assists staff entering the department in order to facilitate their research needs.

2. Responsible for coordinating all CARE transactions.

3. Coordinates all records requests within client records.

4. Indexing and retrieving copies of documents.

5. Maintains accurate records.

6. Supervises staff and directs operations of the Client Records Department.

7. Effectively handles multiple responsibilities.

8. Back-up to the HIPAA Coordinator at DSSLC.

Knowledge, Skills and Abilities (KSAs):

1. Knowledgeable of the CARE system. Is able to enter information, retrieve information, copy and distribute production reports to other departments, verify, correct, and maintain information in CARE. Train staff.

2. Ensures timely and accurate completion of all records requests relating to client records.

3. Purging documents from the Master Record and including them with overflow.

4. Interviews employees using the current employee selection process. Trains new employees and ensures retraining.

5. Manages projects and tasks in an effective, accountable and responsible manner.

Registrations, Licensure Requirements or Certifications:
N/A

Initial Screening Criteria:

Must have at least 2 years Supervisory experience.

Experience with HIPAA.

Experience with record retention.

Additional Information:

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).

Males between the ages of 18 – 25 must be registered with the Selective Service.

All State Supported Living Center Employees are subject to Random Drug Testing.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
