Client Service Associate / Administrative Coordinator

About Us

We are a boutique Registered Investment Advisor (RIA). Our team consists of one lead financial advisor supported by two paraplanners, and we provide high-touch wealth management services to a select group of clients.

Position Overview

We are seeking a highly organized and detail-oriented Client Service Associate to support our team. This role is designed to take on administrative and client service responsibilities currently handled by paraplanners, allowing them to focus on financial planning and analysis.

This is a critical role focused on organization, execution, and delivering a high-quality client experience.

Key Responsibilities

Client Service

  • Serve as a point of contact for client requests and follow-ups
  • Assist with account opening, transfers, and maintenance
  • Coordinate with custodians (Schwab, Fidelity, etc.)
  • Prepare client meeting materials and assist with ongoing service needs

Administrative & Workflow Support

  • Manage scheduling and meeting coordination
  • Maintain CRM (Redtail, Salesforce, or similar) and track tasks
  • Ensure workflows and deadlines are completed on time
  • Handle paperwork, forms, and documentation processing

Team Support

  • Work closely with paraplanners to offload administrative tasks
  • Help prepare materials for client meetings and financial plans
  • Support internal organization and communication across the team

Qualifications

  • 2–5+ years of experience in an administrative, client service, or financial services role
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and follow through consistently
  • Professional communication skills with clients
  • Experience in wealth management or financial services preferred

Pay: $80,000.00 - $95,000.00 per year
