We are Local & Dedicated to helping injured people navigate some of the most difficult moments in their lives. When someone calls our office, they are often dealing with stress, uncertainty, and physical pain. The first voice they hear matters.

We are looking for an energetic Client Services Coordinator who can create an exceptional first impression while helping keep the Office running smoothly.

This is not a passive role. The right candidate will be organized, proactive, and comfortable handling multiple tasks at once while ensuring every caller feels heard and supported.

Position Overview

The Client Services Coordinator serves as the first point of contact for our clients and prospective clients. This role requires someone who can manage multiple phone calls, perform detailed client intakes, and ensure calls are routed efficiently to the appropriate team members.

This person also takes ownership of the front desk experience by managing mail, scanning documents, and maintaining office supplies.

We are looking for someone who does not wait to be told what to do, but instead sees what needs to be done and takes initiative.

Key Responsibilities

Communication & Phone Management

  • Answer incoming calls promptly and professionally
  • Conduct detailed client intakes for potential new cases
  • Gather key information from prospective clients in a calm and professional manner
  • Route calls to the appropriate attorney or staff member
  • Manage multiple calls while maintaining excellent client service
  • Ensure every caller receives a positive and professional experience

Support with Office Operations

  • Serve as the first point of contact for clients and visitors
  • Maintain a welcoming and organized environment
  • Ensure calls are prioritized and handled efficiently

Mail & Document Management

  • Receive, sort, and distribute incoming mail
  • Scan and upload documents into the firm’s case management system
  • Maintain accurate digital records

Office Support

  • Order and maintain office supplies
  • Assist with administrative tasks as needed
  • Support attorneys and staff by ensuring communication flows efficiently

Qualifications

Preferred qualifications include:

  • Prior experience in reception, customer service, or client intake
  • Experience in a law firm, medical office, or professional services environment is a plus
  • Strong communication and interpersonal skills
  • Ability to multitask and stay organized in a fast-paced environment
  • Strong computer and data entry skills
  • Ability to remain calm and professional when speaking with clients in stressful situations

Schedule

This is an in-office position with a consistent schedule:

Monday – Friday
8:30 AM – 5:00 PM

Punctuality and reliability are essential for this role.
