Client Success Associate

We fix business finance headaches. That's the short version of what we do at Pendleton Street. The longer version involves helping business owners make smarter decisions at every make-or-break milestone — valuations, forecasts, exits, succession, and everything in between.
We're a small, focused team. And right now, we need someone who can be the nerve center that holds it all together.
THE ROLE
This is not your typical admin job. It's also not a sales role — you won't be schmoozing clients or pitching anything. What you will be is the person who makes everything run.
Think of it as equal parts project manager and operational backbone. One day you're preparing meeting materials and coordinating client onboarding. The next you're tracking account transfers, troubleshooting a custodian issue, and keeping an advisor's calendar from falling apart. The common thread: you're the one who catches what others miss and makes sure nothing slips through the cracks.
The right person for this role loves being in the middle of the action — not in the spotlight, but in the engine room. High trust. High skill. High drive. You take pride in being the person others count on when things need to be done right, and fast, with minimal hand-holding.
We'd also love for this role to be a launching pad. If you're interested in growing toward a Paraplanner designation or other financial planning certifications, we want to support that path.
WHAT YOU'LL ACTUALLY DO
Client Service & Communication
- Be the first point of contact for client inquiries — phone, email, in-person. You represent the firm every time you pick up. This isn’t menial work, you’re the front door to the firm.
- Own the new client onboarding experience: paperwork, documentation, coordination. Make it seamless and enjoyable for our newest clients.
- Keep the filing system (digital and physical) organized and accurate. If it's a mess, fix it. And let the team know.
Operations & Account Management
- Process investment account openings, money movements, distributions, beneficiary updates — the works. Training provided.
- Run daily transaction checks on incoming and outgoing funds.
- Track pending work product or follow up items and follow through until they're done.
- Work with custodians (like Schwab) to resolve issues without drama.
Advisor Support
- Prep meeting materials, reports, and client review docs — before advisors ask.
- Own follow-up after meetings. Things get assigned; you make sure they actually happen.
- Manage advisor calendars and scheduling. Anticipate conflicts before they become a problem.
- Coordinate travel when needed — flights, hotels, logistics.
- Support the CASE, AUM, and Bookkeeping teams as needed.
- Help with client portal onboarding and proprietary software setup.
Compliance & Documentation
- Keep records accurate and up to date — this is a regulated industry and details matter.
- Support annual compliance activities: client outreach, data review, recordkeeping.
- Follow firm and regulatory procedures without being told twice.
Tech & AI Tools
- Use AI tools where they help you move faster and produce better work. We're a smarter-numbers firm — we expect that mindset from our team.
- Client confidentiality is non-negotiable. Know where data can and can't go.
WHO YOU ARE
You're the kind of person who closes the loop without being asked. You can hold ten things in your head at once and not drop any of them. You're comfortable in a fast-moving environment where the priorities shift but the standards don't.
You're also someone who genuinely cares — about doing the work right, about the clients behind every account number, and about the team that's counting on you.
WHAT WE'RE LOOKING FOR
Required
- Bachelor's degree or equivalent real-world experience
- 2-3 years in financial services, wealth management, office management, or a related field
- Strong written and verbal communication — you can write a professional email and hold a client conversation with equal confidence
- Sharp attention to detail and the organizational chops to back it up
- Proficiency with Microsoft Office, including PowerPoint and Teams
- Proficient in Slack
- Proficient in Zoom
- Proficient in AI tools such as Claude and ChatGPT. We’ll ask to see proof of this.
- Able to manage multiple priorities independently without needing someone to set your agenda
- Valid driver's license and reliable personal transportation
- Able to lift 30 lbs unassisted and navigate multiple flights of stairs
Preferred
- Experience with custodians like Schwab or similar platforms
- Familiarity with financial planning concepts or investment products
- Genuine interest in growing within a financial advisory firm
