Responsibilities
Dentons US LLP is recruiting a Client Support Coordinator to support client onboarding and new matter set up. This role is pivotal in ensuring a seamless client onboarding experience, managing the opening of new client matters, preparing, and tracking engagement letters, and serving as a liaison between the attorneys and the administrative support team. The ideal candidate will have a keen eye for detail, excellent communication skills, and a proactive approach to client service. This is a hybrid position, 3 days in office and 2 days remote.
Client Onboarding & Intake:
- Coordinate the end-to-end intake process for new clients and matters, from attorney hand off through the conflicts check and clearance, engagement letters and new matter set up.
- Maintain regular contact with both the client and the attorney team to ensure a smooth and timely process and anticipate next steps.
Engagement Letters:
- Oversee the preparation, review, distribution and tracking of engagement letters sent to the client as soon as conflicts are cleared.
- Monitors the drafting, review, and distribution of engagement letters to perspective clients when work is delegate.
- Tracks the status of engagement letters and follow up to ensure timely execution and return.
Internal Coordination:
- Serve as a liaison between attorneys, paralegals, and administrative support teams to facilitate smooth client onboarding and matter setup.
- Follow up on Conflicts and New Matter requests to ensure efficient turn-round times.
- Navigate internal databases.
- Collaborate with billing, compliance, and docketing departments to ensure all client setup requirements are met.
Client Communication:
- Serve as a primary point of contact for clients during onboarding, providing updates and responding to inquiries with professionalism and discretion.
Process Improvement:
- Identify opportunities to streamline and improve client intake and engagement processes.
- Assist in developing and maintaining standard operating procedures and training materials.
- Conduct accessibility testing of websites and digital tools, including using screen readers to evaluate compliance with accessibility standards and identify usability issues.
- Perform other duties as assigned to fully meet the requirements of the position.
Pursuant with state laws, the salary range for this position is $65,000 - $80,000 based on experience and location. Dentons offers a competitive salary and benefits package including medical, dental, vision, 401k, profit sharing, short-term/long-term disability, life insurance, tuition reimbursement, paid time off, paid holidays and discretionary bonuses.
Position qualifications
- The ideal candidate will possess a bachelor’s degree or equivalent experience, 2 years of legal experience in a law firm or professional services environment, preferably in a client-facing or administrative role
- Exceptional organizational skills, attention to detail, ability to prioritize, work independently, and multi-task
- Strong interpersonal and communication skills with the ability to effectively communicate with clients and external parties is essential
- Proficiency in Microsoft Office Suite is required
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Must demonstrate professionalism, discretion with confidential information and respect for ethical standards
- Availability to work overtime is required
