Client Support Specialist – Law Offices of Laura Croft | Timeless Estate Planning

Location: Burlingame, CA (In-Office)
Position Type: Full-Time
Compensation: $25/hour + benefits

We’re looking for a warm, detail-oriented Customer Support Specialist to join our team and be the first friendly face our clients meet on their journey toward clarity and protection.

What You’ll Do

As our Client Support Specialist, you’ll guide prospective clients through the first steps of their estate planning journey and ensure they feel supported every step of the way. You’ll handle communication, scheduling, and coordination between clients and our legal team, ensuring a seamless and caring experience from first contact to signed documents.

In this role, you will:

  • Serve as the first point of contact for new clients — welcoming them, explaining next steps, and helping them feel at ease.
  • Conduct and manage introductory calls with potential clients, listening for their goals and connecting them to the right planning session.
  • Follow up with clients who are mid-process to keep their plans on track and ensure no one slips through the cracks.
  • Coordinate with attorneys and the legal team to support client meetings, ensure documentation is ready, and manage appointment logistics.
  • Maintain accurate client notes and timelines within our internal systems to keep communication flowing across the team.
  • Identify opportunities to improve client experiences and proactively share ideas that make our firm even better.

You have strong communication skills, a calm presence, and a natural sense of follow-through. You are patient, good at managing deadlines, and genuinely enjoy helping people. Most importantly, you care deeply about helping families feel seen and supported.

Ideal Skills and Qualities:

  • Exceptional communication skills (verbal and written) — warm, clear, and professional
  • Empathy and discretion when handling sensitive family or financial information
  • Organizational mastery — able to manage multiple clients, tasks, and timelines simultaneously
  • Tech-savvy, comfortable working with CRM systems, scheduling tools, and internal communication platforms (Slack, Google Workspace, etc.)
  • Follow-through and reliability — you don’t let things fall through the cracks
  • Problem-solving mindset — proactive in identifying challenges and offering thoughtful solutions
  • Team-oriented attitude — works collaboratively and keeps colleagues informed
  • A minimum of 1-2 years of experience in client service, sales coordination, or professional services
  • California Notary Certification is a plus (or willingness to obtain certification)

Pay: From $25.00 per hour
