Title: Clinic Manager

Base Salary Range: $72,064 - $74,582 plus benefits

FTE: Full-time, Exempt

General Summary: The Clinic Manager oversees clinic operations, including patient access, scheduling, staff management, policy implementation, and regulatory compliance. They collaborate with other departments to enhance patient care and retention. The Clinic Manager is crucial in managing clinic operations and ensuring quality patient care. The ideal candidate will have to perform some of the following essential job duties.

  • Ensure that daily clinic activities (opening/closing of clinic during hours of operation, registration, scheduling, financial screening, recalls, new member outreach, missed appointments, cash collections and reconciliation) are completed timely and accurately (daily, weekly, and monthly), staffing schedules and assignments, and provides direct support as needed in clinic activities.
  • Communicate with the Clinic Administrator daily and as appropriate on issues related to patient access, staff performance, patient complaints, patient experience, and other issues impacting patient care, safety, and compliance.
  • Responsible for coordinating and maintaining an accurate account of all monies received, and petty cash which includes but not limited to batch reconciliation, and daily batch payments.
  • Serves as a backup for the PSR duties and responsibilities to cover staffing gaps.
  • Responsible for the supervision, training, mentoring and coaching patient services coordinators, and other support staff.
  • Responsible for conducting annual performance reviews on all direct reports.
  • Responsible for payroll oversight, staff scheduling and time-off approvals for all direct reports in a timely manner.
  • Responsible for the communication and implementation of clinic policies and procedures and ensuring compliance with regulations and standards.
  • Maintains medical records integrity that meets federal, state and county health department guidelines.
  • Maintains and keeps updated on all HIPAA and privacy practices including preparation and implementation of all patient records privacy notifications.
  • Perform monthly chart audits, report findings and provide recommended solutions during monthly one-on-one meeting with Clinic Administrator to ensure registration, scheduling and enrollment processes are completed accurately according to clinic policies and protocols.
  • Tracks daily, weekly, and monthly productivity to meet financial goals which includes but not limited to scheduled appointments, completed visits, cancellation rate, no show rate, and staff assignments and productivity

Qualifications & Experience:

  • High School Diploma required
  • AA Degree or related field or equivalent of one (1) year’s experience, preferably in an FQHC (Federally Qualified Health Centers) or community clinic setting, required
  • Bachelor’s Degree preferred.
  • Minimum of one (1) year of supervision experience required.

Skills & Abilities:

  • Proficiency in EMR systems, and Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent interpersonal and written communication, organizational, analytical, and project coordination/management skills.
  • Excellent collaboration skills required for community relationship-building
  • Must be able to communicate effectively, in English both verbally and written, Spanish preferred.
  • Able to type at a minimum of 40 wpm.
  • Ability to adjust to fluctuating work volume.
  • Ability to complete appropriate documentation in an accurate and timely manner.
