JOB DESCRIPTION:

Responsible for efficient Clinic office operations under the direction of the Clinical Director. Expected to have a presence in the clinic areas to observe office day-to-day operations, patient care and documentation. Functions as a mentor for staff and to model customer-focused behavior and to coach patient care improvements. Responsible for monitoring productivity and training support staff (i.e., medical/dental assistants, hygienists, nurses, etc.). Ensures steady workflows and uninterrupted service in the clinic facilities. Supervises all Clinic Medical/Dental Assistants, Nurses, and Provider positions.

JOB FUNCTIONS:

include, but not limited to, the following:

  • Provides administrative supervision over all listed clinical staff above. Including, but not limited to personnel management, timekeeping approvals, performance appraisals, disciplinary action, establishes standards expectations, training, mentoring ensuring steady workflows, and hold positions accountable. Directs and delegates subordinate work to position to carry out all assigned functions.
  • Creates and ensures proper implementation and enforcement of all Clinical Policies and Standards of Operations Procedures. Annually reviews and updates policies and procedures for best practices and compliance with the other Clinical Manager.
  • Monitors efficient office productivity, patient scheduling, registration, financial counseling, clinical records, billing and collection, data entry and processing and reconciliation. Promotes excellent customer service by all levels of the staff.
  • Trains a productive clinical team that is focused on continuous improvement, including team building/development activities.
  • Works with Compliance Officer to ensure regulatory compliance with HIPAA, OSHA, labor laws and other Federal, State, and local regulations.
  • Coordinates the day-to-day execution of office practices that increase productivity and efficiency.
  • Responds to clinical and operations issues in a timely and professional manner.
  • Works with the CFO and Clinical Director to monitor Clinical office budget (income and expenditures).
  • Coordinating staff meetings, clinical trainings, and conferences in conjunction with the Clinical Director.
  • Maintains a complete knowledge of office procedures and logistics associated with assigned roles.
  • Develops and leads the execution of project plans, such as routine and non-routine projects that may include tasks like gathering data, in-depth research, creating spreadsheets or databases to compile data, creating, and running reports, reviewing, and summarizing data, or tracking large amounts of information.
  • Maintains complex file and records, maintains and updates department resources and tools such as employee lists, PRN lists, volunteer lists, referral lists, phone lists, organizational charts, or other department information.
  • Develops and executes communication plans to ensure timely, accurate, effective communication across all FourPoints Health clinics.
  • Assists the Clinical Director and Clinic Providers in planning, organizing, implementing, and accomplishing department day-to-day operations and goals.
  • Identified improvements to be implemented in processes, office organization and workflow.
  • Coordinates and may perform a full range of clerical functions, including receptionist, customer service, mail distribution, calendars and meeting management, preparing documents, etc.
  • Distributes, educates, and explains processes and paperwork to patients and/or customers. Responds to requests for information and appropriately releases information based on policy, ensuring customer requests and work assignments are prioritized and completed correctly and efficiently.
  • Monitors the ordering, stocking, and use of office supplies to ensure adequate office and other supply inventory levels are maintained.
  • Monitors the use of office equipment. Ensures basic maintenance for all office equipment is complete. Ensures the office equipment and facility / work area is in proper working condition. Contacts the appropriate service provider to resolve any issues that arise. Coordinates regular maintenance as needed.
  • Independently investigates assigned problems, determining method of research, data, and information requirements as well as analysis techniques. Tactfully handles difficult situations with staff and customers while remaining positive and professional. When needed, escalates issues to the appropriate staff member.
  • Creates formal and informal presentations including content, scripting, sequencing, and aesthetics for use with a variety of internal and external audiences.
  • Organizes community outreach, engagement, and marketing events to promote FourPoints Health.
  • Provides requested monthly reports to management.
  • Assists with medication delivery as needed.
  • Handles all PRC appeals for denied services.
  • Discharge patients from the clinic.
  • Drop off deposits and provide change from the bank.
  • Learn and utilize all EHR systems for all departments within the clinic.
  • Help translate with Spanish Speaking Patients.
  • Handle day to day problems that arise.
  • Other duties as assigned to support the efficient operations of the Tribe.

Requirements

General Requirements:

  • Must be insurable through the Tribe’s vehicle insurance required.
  • Must pass a criminal and fingerprint background check according to P.L. 101-630 standards required.
  • Must pass a pre-employment alcohol/drug screening required.

Education & Experience:

  • Associate Degree or higher in a medical or dental field, or seven (7) years’ experience working in a clinical setting required.
  • Five (5) years’ experience working in a clinical setting required.

License & Certification:

  • Must possess, maintain, and provide proof of a valid Driver’s License required.
