Ascend Physical Therapy is a growing outpatient orthopedic physical therapy company focused on delivering exceptional patient care and creating a positive experience for every patient who walks through our doors.

We are seeking a Clinic Operations Coordinator to help oversee front office operations, patient scheduling, insurance processes, and billing oversight across our clinics.

This role is ideal for someone who enjoys both organization and leadership, and who wants to play a key role in supporting clinic operations while helping our team deliver outstanding patient care.

Qualifications

  • Previous experience in healthcare administration, medical office management, or clinic operations preferred,
  • Experience with insurance verification, authorizations, and medical billing strongly preferred,
  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Strong attention to detail and problem-solving abilities
  • Ability to work both independently and collaboratively with a team
  • Leadership or supervisory experience is a plus

Key Responsibilities

Front Office Operations

  • Oversee daily front desk workflow and scheduling
  • Ensure smooth patient check-in and check-out processes
  • Maintain high standards of customer service and patient experience
  • Assist with patient communication and problem resolution
  • Help manage clinic schedules to optimize patient access and provider efficiency

Insurance & Authorization Management

  • Manage insurance verification and authorization processes
  • Ensure required authorizations are obtained prior to patient visits
  • Track authorization limits and expiration dates
  • Communicate with insurance providers and referring offices when needed

Billing Oversight

  • Submit insurance claims and review claim status
  • Post insurance and patient payments accurately
  • Monitor accounts receivable and follow up on unpaid claims
  • Work with clinic leadership to track billing performance and identify improvement opportunities

Team Support & Training

  • Train and mentor front desk staff
  • Maintain front office procedures and workflow standards
  • Help implement improvements to scheduling and administrative processes
  • Support a positive, collaborative team environment

Skills & Attributes

  • Ability to prioritize tasks and manage competing demands
  • Comfortable communicating with patients, providers, and insurance companies
  • Interest in improving systems and workflows to support clinic growth
  • Interest and/or experience in the healthcare field is preferred
