Job Summary
We are seeking a highly organized Clinical Operations & Program Coordinator to support a rapidly growing infectious disease program focused on Hepatitis C and HIV treatment across Florida.
Our organization provides screening, treatment coordination, and care management for Hepatitis C and HIV in community outreach settings and correctional facilities throughout Florida.
This role combines field operations, patient pipeline coordination, and operational reporting using spreadsheet interpretation. The position requires a professional who is comfortable traveling to clinical sites, managing workflow systems, maintaining accurate reporting, and ensuring patients move efficiently through the treatment process.
This is a hands-on operational role reporting to the Chief Clinical Officer and working closely with leadership and the Clinical Office Manager.
Duties
- Lead the planning, implementation, and evaluation of infectious disease clinical programs focused on STD, HIV, and substance abuse treatment pipelines. .
- Collect and analyze data related to program outcomes, patient demographics, and service utilization to inform continuous improvement efforts.
- Maintain detailed documentation of patient interactions, treatment plans, and program activities using medical terminology and data collection tools.
- Provide training and support to staff
- Core ResponsibilitiesClinical Pipeline Management
Monitor and manage the Hepatitis C patient pipeline including:
- antibody screening results
- RNA confirmatory testing
- treatment initiation, medication refills, treatment completion
- treatment completion
Track and follow up on all patients who are:
- awaiting confirmation
- awaiting approval
- awaiting treatment start
- mid-treatment
- due for refill medication
Ensure patients do not fall out of the treatment pipeline.
HCV Tracking and Data Management
Maintain and update the company’s HCV Pipeline Tracking Workbook and operational dashboards.
Clinical Operations & Field Oversight
- Provide operational support across multiple clinical and correctional sites
- Conduct site visits and field audits to ensure workflow compliance and documentation accuracy
- Support outreach teams and monitor operational performance
- Identify operational challenges and coordinate solutions with leadership
- Serve as a field extension of the Chief Clinical Officer
Patient Pipeline & Program Coordination
- Track patients from screening through treatment completion
- Monitor antibody testing, RNA confirmation, insurance clearance, and treatment starts
- Ensure timely follow-up to prevent delays in treatment
- Identify patients requiring follow-up and coordinate next steps
- Maintain and support the organization’s patient tracking and reporting systems
Reporting, Compliance & Data Management
- Maintain operational reports for clinical and correctional programs
- Build and manage spreadsheets, dashboards, and tracking systems for KPIs
- Ensure reporting accuracy and audit readiness across sites
- Monitor program metrics and escalate operational risks to leadership
Laboratory & Pharmacy Coordination
- Coordinate with laboratories to track specimen processing and results
- Monitor RNA confirmation results and treatment readiness
- Coordinate with specialty pharmacies to track medication fills and refills
- Ensure pharmacy records align with internal patient tracking systems
Systems & Process Development
- Implement standardized reporting workflows across teams
- Improve operational efficiency through process improvements
Support expansion into new locations

Required Qualifications
- 3–5 years of experience in healthcare operations, City health department, clinical coordination, or medical office leadership
- Experience managing spreadsheets, reporting systems, or operational dashboards
- Strong organizational and analytical skills
- Experience coordinating clinical workflows or patient programs
- Excellent written and verbal communication skills
- Ability and willingness to travel statewide
Preferred Background
- Infectious disease or public health program experience
- Correctional healthcare or community outreach experience
- Experience supporting multi-site healthcare organizations
- Familiarity with regulatory reporting or compliance audits
- Experience with EMR/EHR systems (eClinicalWorks preferred)

Pay: $31.00 - $33.00 per hour
