Clinical Administrative Coordinator

Job Overview
We are seeking a dynamic and detail-oriented Clinical Administrative Coordinator to join our healthcare team. In this vital role, you will serve as the backbone of our clinical operations, ensuring seamless administrative support, accurate documentation, and efficient patient flow. You will manage medical records, coordinate appointments, verify insurance information, and assist with billing processes—all while maintaining compliance with healthcare regulations such as HIPAA. This is a front office-based role designed for candidates with clinical experience (MA or LPN) who want to utilize their medical knowledge in a fast-paced vascular practice without performing routine patient rooming or hands-on care.

Responsibilities

  • Manage patient scheduling using EMR (Electronic Medical Record) systems such as Epic, Meditech, eClinicalWorks, or Athenahealth to ensure timely appointments and reduce wait times.
  • Verify insurance coverage and benefits by performing insurance verification and pre-authorizations for procedures and treatments.
  • Review and process medical documentation including care plans, progress notes, and billing records to ensure accuracy and completeness.
  • Assist with medical coding using CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding standards for billing and reporting purposes.
  • Maintain meticulous medical records in compliance with HIPAA regulations, ensuring confidentiality and proper filing of electronic and paper documents.
  • Support front desk operations by answering multi-line phone systems with professional phone etiquette, greeting patients warmly, and managing appointment scheduling efficiently.
  • Perform data entry tasks such as typing reports, updating patient information in EMR systems like Eaglesoft or Dentrix, and managing health information management records.
  • Collaborate with clinical staff to facilitate smooth clinic operations, including intake procedures, medical office management, and office management duties.
  • Conduct insurance verification processes to confirm coverage details for Medicare, Medicaid, or private insurers before services are rendered.
  • Provide exceptional patient service by addressing inquiries promptly, assisting with forms, and ensuring a welcoming environment at the front desk.

Experience

  • Prior experience working in a medical or dental office environment is highly preferred; clinic experience is a plus.
  • Demonstrated proficiency with EMR systems such as Epic, Meditech, eClinicalWorks, Athenahealth or similar platforms.
  • Strong knowledge of medical terminology, CPT coding, ICD-9/10 coding standards, and medical billing procedures.
  • Experience in healthcare administrative support roles involving documentation review and health information management.
  • Excellent computer skills including Microsoft Office Suite (Word, Excel), typing (10 key typing), and familiarity with office equipment such as multi-line phone systems and filing systems.
  • Bilingual abilities are advantageous for serving diverse patient populations effectively.
  • Proven ability to handle sensitive information in compliance with HIPAA regulations while maintaining professionalism under pressure.

Pay: $20.00 - $23.00 per hour
